Job Summary: The Admin Executive will be responsible for managing the day-to-day administration, procurement coordination, maintenance support, and event logistics across all Kidzonia centers in Pune. The role requires strong organizational skills, basic tech proficiency, and daily mobility to visit and support multiple centers. The ideal candidate must be proactive, hands-on, and capable of multitasking across locations and teams . Key Responsibilities: 1. General Administration Manage administrative operations of the Regional Office and provide daily support to Kidzonia centers in Pune. Handle visitor management, documentation, and routine center-level admin escalations . Maintain updated records of assets, vendor contacts, complaint logs, and AMC details . Coordinate with HO and Center Heads for all admin-related requirements. 2. Procurement & Inventory Management Raise and track purchase requests for uniforms, stationery, grocery, kits, and event-related materials . Coordinate with vendors and the HO procurement team to ensure timely delivery and quality checks . Maintain stock registers, delivery logs, and center-wise inventory records . Negotiate with local vendors for best pricing, quality, and availability . 3. Facility Maintenance & AMC Coordination Visit centers regularly to track and resolve issues related to plumbing, electrical , carpentry, pest control, etc. Ensure timely servicing and AMC completion of assets like ACs, CCTV, water purifiers, etc. Maintain and follow up on center-wise complaint resolution trackers . Coordinate deep cleaning and monthly maintenance tasks at all centers. 4. Event Coordination & Resource Planning Collaborate with Center Heads to plan and prepare for upcoming events, celebrations, and activities . Ensure availability and delivery of event-specific materials – décor, printables, banners, sound systems, etc. Maintain a center-wise event calendar and resource checklist , ensuring proactive planning and execution. 5. Logistics & Inter-Center Support Oversee logistics for transferring supplies between centers, or from RO/HO to centers. Track dispatch of couriers, materials, kits, and vendor deliveries . Support new center setups by coordinating furniture, branding, and equipment installations. 6. Documentation & Reporting Maintain organized records of all purchase orders, bills, receipts, vendor contracts, and quotations . Submit weekly status reports on admin activities, maintenance updates, and procurement progress to the Regional/Admin Heads. Ensure center compliance in terms of utility bill tracking, rental records, and maintenance logs .
