Role summary: Execute end-to-end order fulfilment for domestic & international customers with emphasis on customer experience verify order details, confirm execution, share shipment/tracking reports next morning, follow up on payments, update stock, and manage inbound deliveries. Place POs with International Companies, manage export/import documentation and customs coordination, ensure timely shipments and collections. Key responsibilities (concise): Acknowledge all customer orders same day; (duplicate check, product code, price, stock availability, special/tender pricing); confirm execution. Communicate proactively with customers for confirmations, clarifications and payment follow-ups; escalate before credit expiry. Send shipment confirmation & tracking to customers early next morning; keep customers updated until delivery. Maintain live stock sheet/ERP; receive inbound goods, cross-check quantities, update locations and mark order close. Maintain accurate digital & physical records for demos, half-kits, returns, and field samples. Coordinate with sales for order changes, special requests and pricing exceptions. Send shipment confirmation & tracking to customers early next morning; mark orders closed. Chase payments, maintain AR follow-ups, notify customers before credit period expiry. Onboard distributors/customers: collect GST/license/billing & shipping details, KYC documents. Place POs with principals (EU/China), track 34 week lead times, and coordinate with freight forwarder/CHA. Prepare/verify import docs (commercial invoice, packing list, BL/AWB) and complete CHA checklist to avoid customs delays. Provide excellent customer service by responding promptly to queries via phone or email. Desired Candidate Profile 1-5 years of experience in order processing, preferably in the medical devices industry. Bachelor's degree in Any Specialization (B.A / B.B.A/ B.M.S). Excellent communication skills with proficiency in English language and email etiquette. Strong understanding of MS Office applications (Word, Excel) for data entry and record-keeping purposes. Attention to detail zero tolerance for documentation errors that delay customs.
