Job Description: EDI Import Executive An EDI (Electronic Data Interchange) Import Executive plays a crucial role in ensuring the smooth and efficient flow of information for a company's import operations. This individual is responsible for managing the electronic exchange of business documents between the company and its international trading partners, including suppliers, freight forwarders, customs brokers, and government agencies. By ensuring the accuracy and timeliness of EDI transactions, the EDI Import Executive helps to streamline the supply chain, reduce manual data entry, minimize errors, and ensure compliance with customs regulations. This role is a blend of logistics, data management, and technical expertise, requiring a keen eye for detail and a thorough understanding of import processes. Key Responsibilities: EDI Transaction Management: Process and monitor all inbound and outbound EDI transactions related to import shipments, including purchase orders (850), advance ship notices (ASNs/856), invoices (810), and customs filings. Ensure the timely and accurate transmission and receipt of EDI documents with overseas suppliers, shipping lines, freight forwarders, and customs brokers. Troubleshoot and resolve any EDI transmission errors, failures, or discrepancies in a timely manner to avoid delays in the import process. Data Integrity and Accuracy: Verify the accuracy of data within EDI documents against physical shipping documents, purchase orders, and internal system records. Identify and rectify any data mismatches or inconsistencies to ensure smooth customs clearance and accurate inventory management. Maintain and update master data for trading partners within the EDI system. Customs and Compliance: Prepare and transmit necessary documentation for customs clearance via EDI systems (e.g., ICEGATE in India). Ensure all EDI filings comply with the regulations of Indian Customs and other relevant government agencies. Coordinate with customs brokers (CHAs) to resolve any queries or issues related to EDI submissions. Coordination and Communication: Act as the primary point of contact for internal departments (procurement, logistics, finance) and external partners regarding EDI-related import matters. Liaise with the IT department and external EDI service providers to manage system updates, troubleshoot technical issues, and onboard new trading partners. Communicate effectively with suppliers to ensure they adhere to the company's EDI standards and requirements. Reporting and Process Improvement: Generate regular reports on EDI transaction volumes, error rates, and key performance indicators (KPIs) for import operations.
