As an IT Purchasing Administrator, your primary responsibility will be to manage and coordinate the procurement of hardware, software, and other IT-related products and services for Epiroc customers. You will work closely with internal stakeholders, vendors, and suppliers to ensure timely and cost-effective acquisition of IT resources while maintaining high quality and adherence to organizational standards. Reporting to the IT Purchasing Manager, you will also collaborate within the End User Support Organization for day-to-day operational duties. Supporting customers and IT functions with IT Purchasing activities, you will help standardize IT purchasing processes and collaborate within the global IT organization to fulfill customer needs. Your operational purchasing tasks will involve coordinating the acquisition of hardware and software based on customer needs, requesting quotations, raising purchase orders, placing orders, and following up on deliveries. Proper escalation to the IT Purchasing Manager and Regional End User Support Manager will be necessary according to impact, severity, and urgency. Additionally, you will participate in IT Purchasing related trainings and handle invoice investigations for invoices with purchase orders (PO), actively communicating with customers, the IT organization, and suppliers. In terms of general purchase admin support, you will advise customers on Epiroc IT standards and best practices, track and update documentation about internal IT purchasing procedures, and engage in ad-hoc sourcing activities (supporting supplier selection for IT accessories) in collaboration with the Global IT Sourcing Team. You will also manage and participate in assigned projects, generate reports as needed, and undertake other duties and responsibilities as assigned, including international travel when required. For the required experience, a minimum of 2 years of working experience within administrative roles, preferably in purchasing or logistics, is necessary. An IT technical background or interest, the ability to stay informed about recent technologies, and the capacity to work independently in a fast-paced environment with multiple tasks are essential. Being well-organized, operating independently in line with local and global guidelines, customer and detail-oriented, and having hands-on experience in dealing with IT vendors and suppliers are advantageous. Familiarity with business processes and vendor management methodology, including coordination, follow-ups, interactions, and communications with vendors, is also beneficial. In terms of educational requirements, a high school degree or equivalent work experience is necessary. Fluency in English (oral and written) is a must, while knowledge of other languages is a plus. The desired personality traits for this role include being communicative, possessing analytical and administration skills, being a team player, having creative and proactive thinking abilities, and being efficient in time management.
