About the Role: We are seeking a proactive and organized office & operations associate to ensure smooth day-to-day office operations and support various administrative, vendor, and people related functions. The ideal candidate will be detail-oriented, efficient, and able to manage multiple tasks simultaneously. Key Responsibilities: 1. Office Management Ensure smooth day-to-day office operations. Procure office supplies including housekeeping, stationery, coffee/tea, etc. Manage housekeeping and security services. Oversee all office AMCs (Annual Maintenance Contracts). 2. Vendor Management End-to-end vendor management, from sourcing to ensuring completion of tasks. Negotiate rates and maintain vendor relationships. 3. Invoice Management Verify, upload invoices in the internal tool and maintain tracker Process payouts Manage petty cash. 4. Travel Management Book and manage travel for the team. Process travel reimbursements. Coordinate with travel agents and to assist the team in passport/visa formalities. 5. Document Management Scan, file, and store important documents systematically. 6. Out-of-Office Tasks Support the finance and ops team with tasks such as procuring bond/stamp paper, obtaining signatures, visiting banks, etc. Whenever needed, support the creative studio team in procuring props needed for shoots. 7. HR Operations Support Calendar management and scheduling. Assist with bank, PF, asset allocation, and pick-up. Manage courier services. Qualifications & Skills: 2/3 years of prior experience in office administration, and related fields preferred. Strong organizational and multitasking skills. Good communication and vendor management abilities. Basic knowledge of MS Office and basic administrative tools. Other Details: Location: Prabhadevi, Mumbai Workdays: Monday to Saturday (6 days) Work Hours: 9:00 AM – 7:00 PM (may extend depending on work requirements)
