organised Job Title: Receptionist & EA to Principal Reports to: Principal Role Overview: The Receptionist & Executive Assistant (EA) to the principal serves as the primary point of contact for parents, visitors, and stakeholders, ensuring professional, courteous, and efficient front-office experience. The role also provides comprehensive administrative and executive support to the principal, including managing schedules, correspondence, meetings, and confidential documentation, to ensure the smooth coordination of day-to-day academic and administrative activities. Brief of Duties and responsibilities: - Serve as the front-line representative of the school, greeting visitors, parents and students courteously and professionally. Manage incoming calls, emails and correspondence, directing them to appropriate departments or staff members. Schedule and coordinate appointments, meetings and conferences for the principal. Maintain the Principals calendar, ensuring timely communication and reminders for meetings, school events and deadlines. Draft, proofread and manage official letters, circulars, notices and reports on behalf of the principals office. Ensure confidentiality of all information related to the principals office, staff and students. Assist the Principal in preparing presentations, minutes of meetings, reports, and documentation for CBSE or management review. Coordinate communication between the principal and various internal teams (academic, admin, HR, transport, accounts, etc.). Organize and maintain office files, records and communication logs systematically. Support in planning and coordinating school events, celebrations and official functions. Handle visitor management, student inquiries and parent interactions with courtesy and clarity. Coordinate logistics and hospitality arrangements for guests, inspection teams, or dignitaries. Ensure timely follow-up on action points and correspondence initiated by the principal. Assist in managing confidential HR or administrative documents as instructed. Maintain a high level of professionalism, discretion and integrity in all communications and operations. Maintain a welcoming and organized reception area that reflects the schools ethos. Demonstrate patience, empathy and composure while dealing with students, parents and visitors.
