General 1. Manage and oversee all administrative and security functions to ensure smooth operations at site location. 2. Coordinate closely with Project HQ team and contractors to ensure the plant's safety protocols, regulatory compliance and operational efficiency. 3. Ensure strategic oversight, crisis management and implementation of best practices for an optimal working environment. Administration Responsibilities 1. Oversee all administrative activities to support the project completion timelines and quality standards. 2. Manage Main Office administration including facility management, procurement of supplies if any and contractor manpower management. 3. Ensure proper allocation and maintenance of company resources including office equipment, transportation and accommodation facility for on-site engineers. 4. Liaise with internal teams (HQ & on-site team), contractors, and third-party local contractors to align administrative processes and resolve issues. 5. Manage and track expenses at site and ensure cost-effective solutions. Site Security Oversight 1. Establish and enforce security protocols including access control, surveillance, and perimeter security, to safeguard personnel, equipment and assets. 2. Manage & supervise security staff code of conduct, monitor performance and ensure readiness for emergency response. 3. Conduct regular risk assessments to identify vulnerabilities & implement corrective actions to reduce risks. Relationship Building Maintain positive relationships with local law enforcement and emergency services & coordinate response plans for emergencies. 2. Foster positive relations with local communities & addressing any concerns that may arise due to the plant's construction and operations. 3. Act as the point of contact for any grievances & manage conflicts with external parties diplomatically. Reports Preparation 1. Prepare regular reports on administrative activities, incidents and financial expenses Other Requirements 1. Job Description- Account Management & Reconciliation: Perform day-to-day accounting transactions, including accounts payable, accounts receivable, and general ledger entries. Reconcile bank accounts, credit card statements, and other financial statements. Assist with monthly, quarterly, and annual close processes. Financial Reporting: Assist in the preparation of budget forecasts, financial analyses, and variance reports. Generate and review reports related to revenue, expenses, Capex and financial performance for management. Compliance & Audit: Assist in preparing for internal and external audits. Provide required documentation and reports to auditors during the audit process. Process Improvement: Collaborate with cross-functional teams to streamline accounting processes and improve operational efficiency. Implement automation tools and software for better tracking and reporting of financial transactions. Account Receivables & Payables Management: Oversee invoicing, collections, and payment processing. Ensure timely and accurate processing of invoices and payments to vendors and customers. Resolve discrepancies related to accounts payable/receivable and escalate complex issues to senior management. Accounting Software & Systems: Manage and maintain accounting systems and software Enter and update financial data into accounting software, ensuring accuracy. Taxation & Compliance Reporting: Support in the calculation and filing of GST, TDS, Income tax and other statutory reporting. Collaboration & Support: Work closely with other departments (HR, Sales, Operations) to resolve financial queries and issues. Maintain excellent relationships with vendors, clients, and other external stakeholders.
