Job title: Accounts OfficerUnit: Finance Reports to: Senior Accounts Officer Location: Bangalore Purpose of role The main purpose of the Job is to organise all the Finance support for Greenpeace India Society-GPIS Main duties Budgets & Forecasts: Ø Collect the estimated projections from the cross functional departments to prepare the Annual Budget Ø Prepare the Annual Budget for GPIS Ø Budget vs Actuals report Ø 3YSP Financial Analysis Ø Submission of annual ODP to GPSA Ø Mid-year Financial review reports and the Re-forecast Statutory Compliances: Ø Monthly payments of Provident Fund, Professional Tax & TDS Ø Quarterly TDS returns filing Ø Generation of Form-16A from the Traces portal Ø Verification of Employees Income Tax declarations and update the tax computations in the Saral TDS. Ø Annual TDS returns filing and issuance of Form-16 to the employees Ø Gratuity calculations verification and timely payment to the LIC Ø Provide the details for filing Form-10 & Form-10B and verification of draft copies Audits: Ø Review of Books for Year-end closing Ø Collect the confirmation of balances from the Debtors & Creditors Ø Arrange necessary details & information to the Auditors to complete the auditing Ø Prepare the 26AS Reconciliation with the Books Ø Update the Fixed Assets statement Ø Prepare the Audited Financials MIS Reports: Ø Monthly Cash-Flow statements, FD interest calculations etc Ø Income & Expenses monthly projections Ø Budget vs Actuals statement with Variance analysis Ø Quarterly reports – GPSA Ø YEP report – GPSA Fundraising: Ø Monthly FR Income file share with the FR Team Ø Coordinate with FR Finance for the Invoice Ø Accounting FR Income & FR Fee with Budget codes Ø Verification of the FR Fee with Data file before process the payment Ø FR Income & Fee Budget vs Actuals analysis as per FR & as per GP Bank matters: Ø Periodically update Re-KYC for the Bank accounts as and when required Ø Submission of the documents for addition/deletion of signatories Ø Apply for the Netbanking for the new signatories as and when required Ø Collect FD statements and account the interest income quarterly Ø Collect the year-end balance confirmations from all the Banks Other works: Ø Ensuring day-to-day transactions such as accounts payable, receivable, payroll are recorded properly Ø Verifications of employees advances / expenses claims Ø Performing timely and accurate month-end journal entries and Trial balance reconciliation Ø Verification of Salary statements / In-house consultants invoices and payments process Ø Vouchers supporting documents print outs to ensure proper documentation and compliant with laws and regulations. Ø Payments processing as per payments cycle Ø Credit card payments verification and accounting the expenses Ø Accounting of Chennai & Bangalore office expenses Ø Upload transactions in Sunsystems Ø Preparation of necessary reports for the Board meetings as and when required Decisions Ø Make decisions for accounting expenses under different accounting heads and budget codes Ø Deduction of Tax at source based on the guidelines laid down by the law Ø Guidance to the cross-functional departments for any queries Ø Make decisions for the changes in the templates as and when required Contacts Internal: Ø Bi-weekly: Executive Director: Submission of Reports / to update any other financial matters Ø Daily: All members of staff in Greenpeace offices as the jobholder is the main point of contact on all finance issues. Ø Daily: Fundraising (FR) department with updates of FR Income as may be required. Ø Monthly: All members of staff in Greenpeace offices to ensure settlement of advances on time. External: Ø Banks: Daily – as and when required, occasionally negotiating Fixed Deposit rates, negotiate for bank charges for any transactions. Ø Vendors: For Invoices /ledger statements/clarifications Resources Finance: Responsible for petty cash and deposit receipts at the Head Office Assets: Responsible for maintaining transaction supporting as per statutory norms. Organization Skills Planning and organizing: Ø Ensure proper time management by coordinating the day-to-day work. This can involve reconciling conflicting work-load priorities between Team members. Ø Managing daily cash flows by ensuring only the minimum balances are retained in the Current Account(s). Analysis: Ø Monitors and reports on budget. Ø 3YSP Financial Analysis Initiative and innovation: Ø Is expected to find ways of improving finance processes for the office and to make suggestions for improving Greenpeace India Standard Operating Procedures (SOP). Ø Is expected to suggest to Manager ways to improve/automate processes wherever possible. Working with others: Ø Tact and diplomacy are required while dealing with others as the workload could create pressure which the job holder is expected to resolve. Environmental demands Ø Occasional travel to other locations to help in finance related issues. This is not a regular part of the job.
