Job Overview:

The Front Office Executive is responsible for handling all administrative and reception duties while ensuring a positive first impression for visitors and clients. This role requires excellent communication skills, a professional demeanor, and the ability to multitask effectively.

Key Responsibilities:

  • Greeting Visitors: Welcome guests, clients, and visitors in a friendly and professional manner.
  • Telephone Handling: Answer phone calls, transfer them to appropriate departments, or take messages when needed.
  • Appointment Scheduling: Manage calendars, schedule meetings, and coordinate with internal teams to ensure smooth operations.
  • Customer Service: Provide assistance to clients and customers, address inquiries, and ensure their needs are met.
  • Administrative Support: Handle incoming and outgoing mail, office supplies, and maintain front office systems.
  • Data Entry: Input data into systems and ensure all records are up to date and accurate.
  • Managing Front Office Equipment: Ensure the proper functioning of office equipment (phones, printers, etc.) and report any issues.
  • Office Security: Monitor and control access to the office, ensuring a secure environment for employees and visitors.
  • Collaboration: Work closely with other departments to ensure smooth operations and assist with various office tasks when required.
  • Compliance: Ensure compliance with company policies and procedures at all times.

Skills and Qualifications:

  • Education: High school diploma or equivalent; Bachelor’s degree preferred.
  • Experience: Previous experience in a front office or customer service role is a plus.
  • Skills:
  • Strong communication and interpersonal skills.
  • Organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to multitask and handle high-pressure situations.
  • Basic knowledge of office equipment (printers, fax, etc.).
  • Professional appearance and demeanor.

Work Environment:

  • This position is typically based in an office environment with regular interaction with visitors and employees.
  • Working hours may vary depending on company needs and may include weekends or extended hours.

Job Type: Full-time

Pay: ₹25,000.00 - ₹28,000.00 per month
