Roles & Responsibilities:
1. Reception & Visitor Management.
Greet and welcome students, parents, staff, and visitors politely.
Maintain a visitor register.
Guiding visitors to the concerned department/person.
Parents / Visitors Hospitality.
2. Call & Communication Handling.
Tele calling Admission data
Answer incoming calls and direct them appropriately.
Manage internal/external communication via phone or email.
Attend to parent enquiries over the phone and coordinate with the principal for necessary
follow-ups or actions.
Making calls for Absentees students and maintaining Absentees register and preparing abstract.
Handle enquiries regarding admissions and courses.
Coordinating with the principal regarding vendor related matters.
3. Student & Staff Support.
Providing general information to students and staff.
Help students with administrative queries and forms.
Assist faculty/staff with scheduling or minor admin support.
Conducting and arranging counselling at the time of Admission.
Arranging entrance test for students at the time of Admission.
Training the trips letters.
Maintaining and sending TC request forms to accounts department.
Arranging files and segregating in Principal’s office.
4. Coordination & Scheduling.
Assist in scheduling appointments and interviews.
Maintaining interview candidate data.
5. Record Maintenance.
Keep logs of couriers and post received or sent.
Maintain attendance registers for staff/visitors if required.
Collecting student documents for SATS registration.
6. Pupil POD & Attendance Register Maintenance
Update and publish student’s attendance on Pupil POD by morning 10:00 am.
Student Details, Fee/Transport details updating and follow up.
Ensure timely registration of students in Pupil PODs.
Additional Roles & Responsibilities
Assist in board related works- CET admission, LIC inspection, VTU affiliation work, NBA &
College Autonomous inspection etc.
Maintain staff attendance registers and ensure proper recording of attendance on daily basis.
