The Facilities Manager will lead comprehensive facility operations for JLL's Gurgaon site, with strong expertise in soft services management and audit compliance. This role demands a confident leader capable of managing diverse teams, ensuring service excellence across housekeeping, security, landscaping, pest control, and other soft services while maintaining rigorous audit standards and operational compliance.
Key ResponsibilitiesSoft Services Management
Oversee end-to-end soft services operations including housekeeping, security services, reception, landscaping, pest control, waste management, and pantry services
Develop and implement service level agreements (SLAs) and key performance indicators (KPIs) for all soft service vendors
Conduct regular quality inspections and service audits to ensure adherence to JLL standards
Drive continuous improvement initiatives to enhance service delivery and occupant experience
Manage vendor selection, contract negotiations, and performance evaluations for soft service providers
Audit Management and Compliance
Lead internal and external audits including ISO certifications, safety audits, fire audits, and statutory compliance audits
Prepare comprehensive audit documentation, checklists, and compliance reports
Implement corrective and preventive actions (CAPA) based on audit findings
Maintain up-to-date knowledge of regulatory requirements and industry standards
Ensure 100% compliance with local municipal regulations, labor laws, and environmental norms
Coordinate with statutory authorities for inspections and permit renewals
Team Leadership and Development
Confidently lead, mentor, and develop a multi-disciplinary facilities team of 15-25+ members including supervisors, technicians, and support staff
Build high-performing teams through effective communication, motivation, and performance management
Conduct regular team meetings, training sessions, and skill development programs
Handle conflict resolution and employee relations matters with professionalism
Foster a culture of accountability, safety consciousness, and service excellence
Manage team schedules, attendance, and resource allocation efficiently
Operations Management
Oversee daily facility operations ensuring seamless service delivery across all touchpoints
Monitor hard services including HVAC, electrical systems, plumbing, fire safety, and building infrastructure
Implement robust preventive maintenance programs and emergency response protocols
Coordinate move management, space planning, and office setup activities
Manage access control systems, visitor management, and security protocols
Client and Stakeholder Management
Serve as the primary facilities contact for internal stakeholders and client representatives
Build strong relationships through proactive communication and responsive service delivery
Handle escalations professionally and implement effective resolution strategies
Present operational reports, performance dashboards, and improvement plans to senior management
Participate in client meetings and business review sessions with confidence
Budget and Financial Management
Develop, monitor, and control facility operating budgets ranging from INR 2-5 Crores annually
Optimize costs while maintaining service quality through strategic vendor management
Track expenses, prepare financial reports, and provide variance analysis
Identify cost-saving opportunities without compromising service standards
Health, Safety and Sustainability
Champion workplace safety through robust HSE programs and regular safety training
Conduct safety audits, risk assessments, and incident investigations
Drive sustainability initiatives including waste segregation, energy conservation, and green building practices
Ensure fire safety compliance, conduct evacuation drills, and maintain emergency preparedness
Maintain accident-free workplace records and promote safety culture
QualificationsEducation and Experience
Bachelor's degree in Engineering, Hotel Management, Facilities Management, or related field
8-12 years of progressive experience in integrated facilities management with strong soft services background
Minimum 4-5 years in a leadership role managing large teams and multi-service operations
Experience in commercial office buildings, corporate campuses, or large institutional facilities
Technical Skills and Certifications
In-depth knowledge of soft services operations, vendor management, and service delivery standards
Strong understanding of audit processes including ISO 9001, ISO 14001, ISO 45001, and related certifications
Leadership and Soft Skills
Confident leadership presence with proven ability to command respect and inspire teams
Strong team handling capabilities with experience managing diverse, multi-level teams
Excellent communication skills in English and Hindi (written and verbal)
Exceptional problem-solving abilities and decision-making confidence under pressure
Client-facing expertise with professional demeanor and presentation skills
Strong negotiation and conflict resolution capabilities
Proactive, hands-on approach with attention to detail
Ability to multitask and prioritize in fast-paced environments
