Your job will be to provide clerical support to our employees and coordinate all daily administrative activities. The Administrator should be highly organized and able to multitask with ease. The Administrator's main tasks include managing office assets, booking meetings and events, arranging travel, and distributing mail. Our ideal candidate has experience as an office administrator or relevant administrative role. Ultimately, a successful Administrator should be able to ensure that our office procedures run smoothly. Key Responsibilities: 1. Handle petty cash for day-to-day office expenses and maintain the monthly petty cash report 2. Maintain office stationery and supplies, ensuring sufficient stock for smooth operations 3. Prepare office expense reports and share them with the finance team on a monthly basis 4. Manage employee travel arrangements, including ticket and hotel bookings, and maintain related reports 5. Organize events, seminars, and meetings, ensuring arrangements are made in advance 6. Handle vendor management, make payments through credit card, and maintain monthly vendor payment reports 7. Ensure the office space is neat and organized; manage housekeeping vendors 8. Handle employee monthly reimbursements: a. Collect reimbursement data and supporting documents from employees b. Verify documents and maintain reimbursement records c. Prepare monthly reimbursement reports and share with the finance team d. Address any employee queries related to reimbursements 9. Manage company assets like laptops, cellphones, SIM cards, tablets, etc.. a. Issue assets to new hires and collect handovers from exiting employees b. Oversee the purchase of new assets and the sale of old ones to maintain the inventory c. Ensure regular service and maintenance of office assets d. Maintain and share asset reports with the finance team 10.
