Key Responsibilities : Vendor & Contract Management : Identify and liaise with vendors for stationery, housekeeping, facility maintenance (e.g., air conditioning, generators), and Annual Maintenance Contract (AMC) services. Negotiate pricing, finalize contracts, and ensure all service agreements are compliant with company policies. Facility & Maintenance Oversight : Ensure factory premises are clean and well-maintained by supervising housekeeping activities. Manage repairs and maintenance of the factory infrastructure (electricity, telephone, etc.) and coordinate with vendors to complete tasks on schedule. Security & Pest Control : Regularly check security arrangements at the factory and oversee pest control services to maintain a safe and clean working environment. Reporting & Documentation : Prepare and submit regular reports (transportation data, manpower, etc.) to management. Verify vendor bills, ensure adherence to payment terms, and submit for processing. Maintain all necessary documentation and ensure compliance with company policies. Inventory & Supplies Management : Maintain inventory of factory supplies, including stationery and other materials. Issue items to employees as required and prepare monthly consumption reports. Employee Engagement & HR Support : Assist with leave management, and employee engagement activities. Manage attendance, Co-ordination with HO and support the HR team in handling disciplinary matters at the factory. Administrative Tasks : Handle incoming and outgoing posts, maintain petty cash, ensure notices are displayed, and support any ad-hoc HR or administrative tasks assigned by management. Invoice Generation & Processing: Prepare and issue invoices accurately and on time. Verify billing details, including customer information, pricing, and applicable taxes. Maintain records of invoices, payments, and pending dues. 2. Payment Processing & Reconciliation: Track and follow up on outstanding payments. Process customer payments and update financial records. Reconcile billing discrepancies and resolve customer queries. 3. Coordination & Communication: Collaborate with sales, finance, and operations teams for accurate billing. Communicate with clients regarding invoices, due payments, and billing concerns. Provide billing reports and summaries to management. 4.
