JOB DESCRIPTION POSITION NAME Administration Manager Legal DESIGNATION Manager POSITION GRADE L3 DEPARTMENT Administration SUB DEPARTMENT Admin-Legal REPORTING POSITION L7 DOTTED LINE REPORTING TO NA NO. OF POSITIONS REPORTING IN 1 MANAGEMENT LEVEL Managing Self OBJECTIVE OF THE ROLE Doing due diligence of the legal document for shortlisted premises, Lease Renewals etc. Navigate and advice leasing team in property related matters for setting up new branches across Pan India. Negotiate leasing terms and conditions with Owner/ Advocates for closing smooth acquisition of premises KEY RESPONSIBILITIES • Drafting Leave & License Agreements, Lease Deeds, Letter of Intent, Supplementary Agreements, Amenities Agreement in respect of the branches for the Company and based on approved term sheet and accepted Letter of Intent • Co-ordinating with Advocates for title Opinions. Perusing Title Opinion and finding any irregularities in ownership & premise status • Co-ordinating with regional managers, owners, brokers to finalise the agreements • Co-ordinating with appointed Lawyers in court cases and arbitration matters of unrecovered security deposits or other premises/property related cases. • Preparation of Authority letters and board resolutions, required for signing the agreements. • Co-ordinating between the parties for execution cum registration of the agreement. • Ensuring Statutory Compliances are followed with respect to Shops and Establishments and Trade Licenses. Co- ordinating with Agencies for application of Shops and Establishments and Trade Licenses and further ensuring that S&E and TL are renewed before the expiry date. • Calculating and approving the stamp duty payable PAN India (independently or in consultation with local advocates). Tracking Stamp duty payments in respective employee's account where registration would be scheduled • Preparation and maintenance of MIS for leased premises • Vetting of various contracts, like Agreement for Contract labours, Service Contract Agreement, Consultants Agreements, Service Level Agreements, etc. • Handling all legal correspondence including drafting of notices and reply to any notice received INTERACTIONS Internal Relations: • Admin Function • Legal Department • Account Department External Relations: • Premises Owner • Owners Advocate • Advocates appointment for title verification REQUIRED QUALIFICATION AND SKILLS Educational Qualifications: LLB Work Experience: 2-3 years Certifications: NA Other skill set: • Good communication skill • Proficiency in drafting agreement/ legal notices • Sound knowledge of the subject (Real Estate leasing)
