Job Description

The Disbursement Accounts (DA) Executive is responsible for accurately and promptly processing DAs received from various Inchcape offices and third-party agents for Crew Logistic business. As a member of the DA processing team, you will be accountable for several key responsibilities: - Checking DAs received from different offices against the client's agreed tariffs. - Addressing any discrepancies in rates or supporting documents by liaising with the local office. - Coding DAs according to the established process. - Posting all DAs upon receiving the rate of exchange from the Global Funding office. - Vouching the Final DA by determining the USD amount and organizing voucher numbers as per the summary sheet. - Uploading FDA copies on ODA where necessary and reporting FDA copies as per customer requirements. - Ensuring timely and accurate updates on CLS HUB at all stages of DA processing. - Following the escalation matrix as per the Standard Operating Procedures. - Ensuring that FDAs proceed within the defined Turnaround Time (TAT). - Resolving end-to-end queries related to the local office and customer within the specified timeframe with the assistance of a Senior Executive or Supervisor. The primary deliverables expected from you include ensuring that all DAs align with the client's service requests and verifying supporting documentation, creating Final DA as per client requirements, and supporting Senior Executives and Supervisors with DA submission reporting. Essential qualifications for this role include proficiency in Microsoft Office (Word, Excel), familiarity with Outlook and its functions, basic accounting knowledge, good written and spoken English skills, and a customer service mindset. Desirable qualifications include a basic understanding of shipping terminologies, knowledge of the maritime industry, and experience in port agency work.
