The Project Administrative Assistant plays a crucial role in the efficient functioning of the project team. Your primary responsibilities will include developing, producing, and distributing reports and general correspondence. It is essential to maintain open, clear, and concise communication with internal project stakeholders. Additionally, you will be responsible for establishing and maintaining project set-ups, including maintaining the electronic filing system and managing access right allocation. As a Project Administrative Assistant, you will be tasked with typing, formatting, and emailing documents, as well as setting up project numbers and budgets under the direction of Project Managers. Your role will also involve updating and reformatting CVs, supporting in ISO compliance, and performing other tasks related to project administration. Flexibility is key as you may be required to take on additional duties as assigned. To qualify for this role, you should possess a college diploma in Administration or related field, along with at least 5 years of experience as a Project Administration Assistant, preferably within an Engineering/Architectural or similar professional services office. Strong organizational and time management skills are essential, enabling you to respond to changing priorities and handle multiple tasks effectively. The ability to work in a fast-paced environment, meet deadlines, and prioritize workload is crucial. Proficiency in computer software applications such as Word, Excel, and PowerPoint is required. General accounting knowledge and experience with Deltek Vision are considered assets. A typing speed of 70 words per minute is preferred. You should be able to work both independently and collaboratively in a team environment, while demonstrating excellent English verbal and written communication skills. Knowledge of the Chinese language would be advantageous in this role.
