Role & responsibilities Oversee inventory management including conducting and reconciling physical counts at various sites. Monitor and report monthly COGS, ensuring accuracy and highlighting variances. Track GRN & GI reports on a daily basis and highlight any delays or mismatches. Develop and maintain a robust verification system that supports audit readiness and zero non-compliance incidents. Partner with recruitment and HR operations to streamline the onboarding process through digital verification tools. 2. Statutory Enrollments UAN & ESI Independently generate UAN and ESI numbers for all new employees through respective government portals. Ensure accurate mapping of employee data, minimizing errors and rejections during registration. Maintain a 100% compliance rate in statutory employee enrollments and contribution submissions. 3. Employee Master Data Management Create and maintain unique employee IDs in the HRMS/HRIS platform. Ensure real-time updates of employee records, organizational movements, and compliance-related details. Drive data governance standards that ensure accuracy and confidentiality across all HR databases. 4. Payroll Administration & Compliance Oversee end-to-end payroll processing for all employees, ensuring completion on or before the 7th of every month with 100% accuracy. Incorporate statutory changes, minimum wage revisions, and tax compliance updates in payroll configurations. Monitor payroll audits and ensure alignment with Finance, Audit, and Statutory bodies. Manage full & final settlements and coordinate closely with the accounts department for disbursements. 5. Statutory Compliance & Regulatory Reporting Ensure timely filing and submission of all statutory returns (EPF, ESI, PT, LWF, Bonus, Gratuity, etc.). Maintain flawless statutory registers and records as per the Factories Act, Shops & Establishments Act, and other labor laws. Liaise with external consultants, government officials, and auditors for inspections, ensuring zero penalties or deviations. 6. ESIC Family Data & Record Updates Manage and update family details of existing employees in the ESIC portal, ensuring complete benefit coverage. Validate all updates for accuracy and compliance during audits and inspections. 7. Audit Excellence & Compliance Assurance Represent the HR function during internal and external audits, demonstrating complete documentation control and readiness. Achieve 100% compliance accuracy through proactive monitoring, documentation discipline, and timely gap closure. Drive continuous improvement initiatives to strengthen compliance systems and minimize audit risks. 8. MIS & Analytics Prepare and publish monthly HR Compliance & Payroll MIS reports with actionable insights for leadership review. Track compliance KPIs such as submission timelines, audit scores, and statutory accuracy levels. Leverage data analytics to enhance payroll accuracy and statutory efficiency. 9. Statutory & S&E Register Maintenance Maintain and periodically update all Statutory Registers and S&E Registers for the Head Office and other sites. Ensure all records are inspection-ready, audit-compliant, and digitally accessible. 10. Business Support & Labor Costing Collaborate with the Business Development and Finance teams to prepare accurate labor cost estimates for new projects within a 24-hour turnaround time. Validate manpower site invoices and ensure completion on or before the 10th of every month. Provide advisory support to management on statutory implications of new business initiatives . Experience and Commitment 6-7 years of experience in payroll operations and statutory compliance. Qualification & Skills Bachelors degree & MBA in Human Resources, Business Administration, or a related field. Strong knowledge of payroll processes, PF, ESI, statutory compliance, and labour laws. Excellent attention to detail and organizational skills. Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and HR software. Strong communication and interpersonal skills.
