Asst Project Manager/ Traffic Manager (Production Manager) About the Role We are seeking a highly organised and detail-oriented Traffic Manager to oversee the scheduling, prioritisation, and workflow of tasks across our business One System Team. This role is crucial in ensuring that projects are adequately resourced, timelines are realistic, and workloads are evenly distributed across departments. You’ll work closely with the Head of Projects, Project Managers, Account Managers, and the PMO to ensure everything progresses smoothly, from initial approval through to planning and delivery. Additionally, the Person will manage workload distribution across both in-house software solutions and third-party platforms, ensuring seamless integration and efficient project execution. This role will also collaborate closely with the Head of Projects, following their guidance on workflow optimisation, resource allocation, and project cadence to ensure consistency and efficiency across all initiatives. Furthermore, the Person will oversee two Project Coordinators—one managing inhouse projects and the other handling third-party projects—ensuring alignment, efficiency, and smooth execution across both areas. The Traffic Management Team will also be responsible for managing P1 and P2 tickets, ensuring urgent issues are prioritised, resolved efficiently, and communicated effectively across teams. When P1 and P2 tickets begin to overflow, the Traffic Management Team will coordinate the removal or reassignment of tickets, ensuring that critical issues are addressed promptly while maintaining operational efficiency. P1 and P2 ticket management will only commence once approval has been given, ensuring that urgent problems are handled in a structured and authorised manner. Additionally, the Traffic Manager will be responsible for weekly reporting and holding production management meetings to ensure transparency, accountability, and continuous improvement across all workflows. The Traffic Management Team will also plan ahead for tickets, ensuring that upcoming work is scheduled correctly, dependencies are accounted for, and resources are allocated effectively to prevent bottlenecks and delays. We need the team to be selfreliant and have redundancy in place to cover holidays and sickness, ensuring we are resilient as a team. So critical daily/weekly tasks need to be multitasked. A key objective of this role is to set people up for success by ensuring that teams have the necessary resources, clear priorities, and structured workflows to perform at their best. The Traffic Manager will proactively identify challenges, streamline processes, and foster an environment that enables individuals and teams to thrive. Key Responsibilities • Workflow Management: Coordinate and manage the flow of tasks and projects across teams, ensuring deadlines are met and priorities are clear. Key Responsibilities Cont. • Resource Scheduling: Allocate internal resources based on availability, skillset, and project requirements. • Time Estimation : Collaborate with the PMO, development team, team leads, and Project Managers to gather accurate time estimates for upcoming work. • Jira Ticket Management : Ensure all project tickets are correctly set up and maintained in Jira (or equivalent tools), reflecting accurate timelines and dependencies. • Capacity Planning: Monitor team capacity and flag potential bottlenecks or resourcing conflicts. • Forward Planning for Tickets: Ensure upcoming work is scheduled correctly, dependencies are accounted for, and resources are allocated efficiently to prevent bottlenecks and delays. • Communication Hub: Act as the central point of contact for scheduling queries, updates, and changes across departments with the Traffic Management Team. • Process Optimisation : Identify and implement improvements to traffic and workflow processes to enhance efficiency. • Overrun Monitoring & Reporting : Track tickets that exceed their estimated time, report findings, and implement corrective actions to improve future planning and efficiency. • Reporting: Provide weekly reports on project traffic, resource utilisation, and delivery timelines to leadership and stakeholders. • Production Management Meetings: Hold regular production management meetings to review progress, address challenges, and ensure alignment across teams. • Collaboration : Work closely with the E-commerce Operations Team, including Account Managers and Project Managers, to align delivery with client expectations. • Software Workload Management: Oversee workload distribution across both in-house software solutions and third-party platforms, ensuring smooth integration and efficient project execution. • Head of Projects Collaboration : Work closely with the Head of Projects, following their guidance on workflow optimisation, resource allocation, and project cadence to ensure consistency and efficiency across all initiatives.
