Key Responsibilities1. Front Desk Management Welcome clients warmly upon arrival, assisting with check-in procedures, appointment scheduling, and any necessary documentation. Handle incoming calls and emails, addressing inquiries, scheduling appointments, and providing information about clinic services. Manage the client waiting area, ensuring a comfortable and professional environment. 2. Administrative Support Assist with daily administrative tasks, including organizing client files, handling billing and payments, and managing inventory of office supplies. Maintain accurate and organized records of client information, appointments, and clinic transactions using clinic management software. Support clinic management in coordinating staff schedules, meetings, and training sessions. 3. Client Service & Communication Address client questions and concerns promptly, providing information about services, procedures, and aftercare instructions. Foster a welcoming atmosphere, ensuring clients feel comfortable and supported throughout their visit. Obtain and document client feedback to help improve service quality and client satisfaction. 4. Coordination & Team Support Work closely with the medical and aesthetic teams to ensure smooth clinic operations and client flow. Support marketing initiatives by sharing promotional materials and information with clients, as well as collecting client contact details for newsletters and follow-ups. Participate in team meetings, training, and development sessions to stay updated on clinic policies and service offerings. Qualifications & Skills Education : High school diploma or equivalent; additional certification in office administration or customer service is a plus. Experience : Previous experience in front desk operations or administrative roles, preferably in a clinical, wellness, or hospitality setting. Skills : Strong communication and interpersonal skills, with a customer-oriented approach. Proficiency in Microsoft Office Suite and familiarity with scheduling and CRM software.
