Dear Candidate, Job Title: Executive Assistant to Managing Director Experience Required: 8+ Years Age : 25 to 37years Location: Santacruz Reporting To: Managing Director (MD) Job Summary: We are looking for a proactive, highly organized, and experienced Executive Assistant to support the Managing Director. The ideal candidate should possess excellent communication skills, strong business acumen, and the ability to multitask in a fast-paced environment. Key Responsibilities: Calendar & Schedule Management: Manage MDs daily schedule, appointments, and meetings. Coordinate internal and external meetings, conferences, and events. Communication & Correspondence: Draft, review, and manage professional emails, letters, and reports. Handle confidential and sensitive information with discretion. Liaise with internal teams and external stakeholders on behalf of the MD. Travel & Logistics: Plan and coordinate domestic and international travel, hotel bookings, and itineraries. Prepare travel expense reports and reimbursements. Meeting & Presentation Support: Organize and prepare for meetings, including agenda preparation, minutes, and action item follow-up. Prepare presentations, business documents, and reports as required. Administrative Support: Maintain filing systems, records, and databases. Manage documentation, approvals, and communication flow. Project Coordination: Assist in tracking business projects and deadlines. Follow up with internal teams to ensure timely execution of key initiatives. Stakeholder Engagement: Act as a point of contact for clients, partners, and vendors. Represent the MD in meetings when required. Desired Candidate Profile: Bachelors degree (Masters preferred) Minimum 8 years of experience in a similar EA role, preferably supporting senior leadership. Excellent communication (verbal and written) and interpersonal skills. Proficient in MS Office (Word, Excel, PowerPoint, Outlook). High level of discretion, integrity, and professionalism. Strong organizational, time management, and multitasking abilities. Ability to work independently and under pressure. Role & responsibilities: Ensure availability of Raw material on daily basis as per production plan. Ensure shift productivity as per the production plan and setup controls to avoid excess and short production Follow the Autonomous maintenance Schedule to ensure optimum machine health during operation. Role & responsibilities Strategic and planning Optimize cost by enhancing performance through various controls such as reduction in manufacturing cycle time, machine capacity utilization, wastage reduction etc. and achieve the budgeted OTDIF targets. Ensure resolution of customer complaints with a special focus on repeated complaints through Customer complaint analysis, development, and implementation of Root cause analysis. Core Functional Core Ensure availability of Raw material on daily basis as per production plan. Ensure that downtimes are below budget by implementing Preventive & planned maintenance. Implement the Autonomous maintenance Schedule to ensure optimum machine health during operation. Ensure daily productivity as per the production plan and setup controls to avoid excess and short production. Resolve customer issues as and when required. Ensure compliance of statutory and regulatory requirements including cGMP. Ensure necessary Troubleshooting of the process to find sustainable solution to process and quality deviations during production. Ensures OTDIF (on-time delivery in full), FTR (first time right) and DOH (days on hand inventory) matrices are achieved. Calculate OEE of the equipment, loss analysis and develop and implement suitable action plans for Improvement of OEE(Kaizen Change Model, Daily Kaizen Model, Other tools of Operational Excellence) Internal Processes Ensure monthly preparation & circulation of production MIS (volume, recovery, WIP, ageing, power & fuel cost) Coordinate with Planning team for planning & execution of the production plan. Implement Safety and Health measures as per laid down procedure. Support the Manufacturing head in preparing the annual budget and monitoring of performance against budget and circulate to the stakeholders. Develop and implement appropriate reporting and recording system of the production process to eliminate factors for deviation. Maintain record of consumable and major repair expenses and monitor and control as per approved budgets.
