Skills & Job Description Role Overview: The Executive Assistant will provide comprehensive administrative and operational support to the Managing Director, ensuring seamless execution of tasks and strategic priorities. This role demands exceptional organizational skills, proficiency in advanced Excel and expertise in digital tools to enhance efficiency across various business verticals. The ideal candidate will act as a central point of coordination between the MD, team and vendors, driving adherence to schedules, processes and deliverables. Key Responsibilities: Advanced Reporting and Analysis: Prepare detailed reports and data analysis using advanced Excel tools (pivot tables, macros, VLOOKUP, etc.). Maintain trackers for purchases, sales (categorized by verticals), and other business metrics. Team Coordination and Task Management: Maintain and monitor a comprehensive to-do list for all six departments: Finance, Production, Regulatory, HR & Admin, Sales & Marketing and Purchase. Ensure timely completion of tasks and adherence to deadlines across departments. Digital Tools Management: Efficiently utilize tools like Shopify, CRM platforms, digital marketing tools, HRMS, influencer marketing and OneDrive for managing tasks and projects. Handle social media accounts and coordinate online strategies. Vendor and Stakeholder Coordination: Act as the primary point of contact for vendors, ensuring clear communication and timely delivery of requirements on behalf of the MD. Standard Operating Procedures (SOPs): Develop, implement and maintain SOPs for all departments. Ensure strict adherence to SOPs and resolve non-compliance issues. Cross-Department Support: Conduct regular review meetings for all departments and follow up on action plans. Provide briefings to the MD on department updates and challenges. Administrative Duties: Schedule and assist in interviews and recruitment processes. Prepare presentations, manage documentation, and ensure a seamless workflow for the MD. Strategic Coordination: Assist the MD in overseeing six business verticals: Pharma Franchisee, Third-Party Manufacturing, E-commerce & Retail, Export, Animal Healthcare, and Pharma Wholesale. Conduct in-depth performance reviews of each vertical and provide concise reports to the MD.
