Key Responsibilities: Follow-Up Mastery: Ensure exceptional follow-up on tasks, schedules, and commitments with internal teams and external partners. Calendar Management: Organize the MD’s schedule, ensuring seamless coordination of meetings, appointments, and calls. Administrative Support: Manage all day-to-day administrative tasks, including drafting emails, managing correspondence, and maintaining confidential records.Office Coordination: Handle office-related coordination, document preparation, and logistics as required. Travel and Event Arrangements: Plan and manage domestic/international travel itineraries and other event logistics for the MD.MS Office Operations: Prepare detailed reports, presentations, and spreadsheets using MS Excel, Word, and PowerPoint. Documentation and Shorthand: Assist with note-taking, minutes of meetings, and transcription of communications when required. Resourcefulness: Be a problem-solver and anticipate needs before they arise.
Attendance Management 1. Overlook the attendance management of all employees. 2. Keep a record for same updated. 3. Recruitment 1. Overlook the recruitment process with Assistant Manager 2. Interview candidates (via phone, video and in-person) 3. Collaborate with managers to identify future hiring needs 4. Keep a stringent check on Labour recruitment Payroll Processing and Statutory Compliances 1. Monitor monthly payroll. 2. Collecting, calculating, and entering data in order to maintain and update payroll information and processing payroll and statutory compliances timely. 3. Ensure all statutory compliances are as per law and payments are completed on time. Laisioning with Labour Department and other concerned Govt authorities. Employee Management 1. Monitor employee requirements such as loan, leave, grievances. 2. Managing contract Labour as per requirement 3. Ensuring all departments have efficient labour with grievance redressal of Labour Performance Management and Employee Welfare 1. 1. Manage and implement employee engagement activities, including celebration of various festivals, site wide parties, wellness programs, tax support etc. 2. 2. Manage the Rewards and Recognition program at site in co-ordination with various teams 3. 3. Co-ordinate with department head to ensure training and development. 4. 4. Create a central PMS to ensure review process is implemented at site as per defined timelines 5. 5. Ensure all departments have completed their SOP’s and following the same 6. 6. Conduct monthly meetings with department heads on SOP 7. 7. Spearhead joint meetings of all departments. Design Workplace Policies and training 1. Design and implement workplace policies 2. Timely induction of employees regarding policies and ensuring they are implemented. 3. Conducting regular training in the plant to ensure we have trained workforce HR Audit Reports 1. Produce monthly HR audit reports for analysis and better management of team 2. Create and produce reports from time to time.
