We’re scaling quickly, with 4 large retreats already live and handling multi-million dollar experiences annually. Now, we’re looking for a sharp, globally minded Product & Operations Manager to help us deliver flawlessly and build what’s next. What You’ll Own 📊 P&L & Budgets — Build detailed budgets and dashboards; track gross margins, KPIs, and variance. 🌍 Product Development — Research destinations, design costed itineraries, negotiate with global hotels/DMCs. 🤝 Vendor Contracting — Secure allocations, SLAs, cancellation grids, and rebates with world-class partners. 🧭 Operations Excellence — Pre-trip manifests, on-ground execution, last-mile VIP touches, and post-trip reconciliation. 🚀 Cross-functional Partnering — Work closely with marketing, local DMCs and external vendors to launch retreats seamlessly. What Success Looks Like (First 180 Days) ✅ Handle end-to-end logistics of current retreats inclusive of itinerary planning, member data tracking, gifting etc. ✅ Launch 2–3 new package prototypes with vetted vendor rosters ✅ Implement live dashboards for P&L, KPIs, and risk flags Who You Are 2–4 years in luxury travel, events, or hospitality product/ops (startup or agency background welcome). Excel/Sheets wizard (pivots, lookups, scenario models). CRM/project tool fluency (HubSpot, Notion). Strong negotiator — comfortable with rate sheets, contracts, and cancellation ladders. Obsessed with detail and design — can debate the best truffle tagliatelle and reconcile a supplier invoice. Calm under pressure, clear communicator, and excited to travel (incl. polar & remote regions). Operations Associate – Beyond Axis About Beyond Axis Beyond Axis curates ultra-luxury retreats for high-net-worth travelers — journeys that blend adventure with elegance. From the Arctic to the Andes, every Beyond Axis experience is a masterclass in curation, service, and style. Role Overview We’re seeking a highly organized, proactive, and well-spoken individual to support our founder and operations team in executing global retreats. This role demands excellent communication skills, attention to detail, and a genuine passion for travel and hospitality. You will coordinate with international partners, manage budgets, and ensure every on-ground detail runs seamlessly. Key Responsibilities Operations & Coordination Communicate effectively with international suppliers, hotels, and HNI clients. Take accurate notes during meetings and follow up on deliverables. Coordinate with accounting to track retreat budgets, spends, and margins. Maintain checklists, manifests, and logistics trackers for each retreat. On-Ground Retreat Support Travel to destinations for Beyond Axis retreats to support the team. Assist in setting up hospitality lounges and guest touchpoints. Oversee décor, entertainment setups, and food service coordination. Manage gifting, registration desks, and on-site logistics. Ensure smooth day-to-day execution with local vendors and staff. Admin & Communication Draft and proofread emails, itineraries, and client communications. Maintain guest data, passport/visa records, and supplier contact lists. Prepare expense reports, supplier payments, and reconciliation summaries. Ideal Candidate Profile Holds a valid passport and is willing to travel internationally. Fluent in English — both spoken and written — with clear pronunciation. Highly efficient, detail-oriented, and organized. Comfortable in a fast-paced, high-expectation environment. Eager to learn and flexible to take on a wide range of tasks. Physically active and able to assist in on-site execution work. Prior experience in travel, hospitality, or events is an advantage but not mandatory.
