Key Responsibilities: 1. Administrative Support: Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements. Prepare agendas, presentations, and documents for meetings. Coordinate and organize logistics for internal and external events. 2. Communication Management: Act as the first point of contact for the executive, screening calls and emails, and prioritizing correspondence. Draft, proofread, and edit emails, reports, and other communications. Maintain confidentiality of sensitive information. 3. Project Coordination: Assist in tracking progress on key projects and ensuring deadlines are met. Conduct research and compile data for reports or presentations. Collaborate with team members to streamline workflow and support initiatives. 4. Office Management: Maintain filing systems and ensure documentation is up-to-date. Handle expense reporting, budgeting, and invoice processing for the executive’s office. Order supplies and oversee equipment maintenance. 5. Stakeholder Management: Build and maintain relationships with internal teams, clients, and vendors. Represent the executive professionally during interactions with external parties. Facilitate communication between the executive and various departments. Qualifications:Education: Bachelor’s degree in Business Administration, Communications, or related field preferred. Experience: 2 years of experience in an administrative or executive support role. Experience working in a fast-paced, high-pressure environment is a plus. Skills: Exceptional organizational and multitasking abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other productivity tools (e.g., Google Workspace, Zoom). Strong written and verbal communication skills. Ability to prioritize tasks and manage time effectively. Professional demeanor and discretion in handling confidential matters.
