Job Purpose: To ensure the effective implementation, maintenance, and continual improvement of the Integrated Management System (IMS), handle customer audits, manage customer complaints, and maintain all audit-related documentation in compliance with ISO standards and company policies. Key Responsibilities: 1. IMS Implementation & Maintenance Ensure effective implementation and monitoring of the Integrated Management System (IMS) covering ISO 9001 (Quality), ISO 14001 (Environment), and ISO 45001 (Occupational Health & Safety). Conduct internal audits, coordinate external audits, and ensure closure of non-conformities (NCs) within defined timelines. Ensure all departments follow standard operating procedures (SOPs) and documentation as per IMS requirements. Coordinate for management review meetings (MRM) and maintain MOM (Minutes of Meeting). 2. Customer Audit Coordination Prepare and coordinate for customer audits and ensure readiness across departments. Facilitate customer visits and provide necessary documentation, records, and clarifications. Ensure compliance with all customer-specific requirements and audit observations. Follow up with concerned departments for closing customer audit NCs or observations. 3. Customer Complaints Handling Record and analyze customer complaints in coordination with Quality, Production, and relevant departments. Conduct root cause analysis (RCA) and implement corrective and preventive actions (CAPA). Prepare customer complaint reports and maintain complaint registers. Monitor recurring issues and drive improvement actions to prevent re-occurrence. 4. Audit Documentation & Reporting Maintain all IMS-related documents, records, and formats as per standards. Control versioning and distribution of controlled documents (manuals, SOPs, forms). Prepare monthly and quarterly audit status and compliance reports for management. Ensure availability of updated records during internal, external, and customer audits. 5. To ensure compliance with all statutory, legal, and regulatory requirements related to labour laws, factory operations, environmental norms (GPCB), and other applicable industrial regulations. Key Responsibilities: 1. Factory & Labour Compliance Maintain and renew Factory License under the Factories Act, 1948 within due timelines. Ensure compliance with Labour Laws such as: Contract Labour (Regulation & Abolition) Act Minimum Wages Act Payment of Wages Act Bonus, Gratuity, and PF & ESIC provisions Apply for and renew Labour Contractor Licenses; maintain records of all contractors and their statutory documents. Liaison with Factory Inspector, Labour Officer, and other government authorities during audits or inspections. 2. GPCB (Environmental Compliance) Ensure compliance with GPCB norms related to air, water, and hazardous waste management. Coordinate for obtaining and renewing Consent to Operate (CTO) and Consent to Establish (CTE). Maintain environmental records and reports (e.g., water analysis, waste disposal records, air emission reports). Liaison with GPCB officials and consultants for audit reports and renewal of licenses. 3. Documentation & Record Keeping Maintain all compliance-related documentation in both soft and hard copy formats. Prepare monthly and quarterly compliance status reports for management review. 4. Liaison & Coordination Coordinate with government departments like: Factory Inspectorate Labour Department Pollution Control Board (GPCB) Local Municipality or Panchayat for NOC-related work Follow up with consultants and agencies for timely renewals and submissions. 5. Other HR Compliance Activities Conduct internal audits and compliance reviews. Assist in handling legal notices, show-cause letters, or compliance queries.
