Assistant General Manager (AGM) - Finance and Administration


1. Financial Management

  • Oversee the preparation and management of financial budgets, forecasts, and reports.
  • Manage accounts payable, receivable, general ledger, and cash flow to ensure sufficient liquidity.
  • Establish and monitor financial policies, systems, and internal controls to safeguard company assets.
  • Ensure accurate and timely financial statements, reports, and analysis for management and board review.
  • Monitor fund disbursements and ensure compliance with funder agreements, contracts, and legal requirements.
  • Manage bank accounts, reconciliations, and supervise the payroll system.
  • Coordinate the preparation and facilitation of audits, ensuring proper documentation and compliance.
  • Manage investments, liquidity, and foreign exchange in line with company policies.
  • Ensure the timely payment of invoices and oversee the processing of payroll and employee benefits.

2. Administration

  • Implement and monitor administrative policies, procedures, and systems to ensure operational efficiency.
  • Oversee the management of office supplies, equipment, and vendor contracts.
  • Oversee the maintenance and upkeep of organizational records, including legal documents, contracts, leases, and licenses.
  • Manage incoming and outgoing communications (telephone, mail, emails) efficiently.

3. Governance Support

  • Collaborate with senior management to mitigate financial and legal risks.
  • Ensure the organization complies with all legal and regulatory requirements.
  • Support the preparation and organization of board and committee meetings, including the dissemination of materials.
  • Coordinate reporting obligations to government bodies, funders, and stakeholders in a timely manner.

4. Human Resource Management

  • Oversee the recruitment, hiring, and onboarding of staff, consultants, and volunteers.
  • Ensure that the organizations HR policies comply with labor laws and reflect best practices.
  • Manage employee records, performance reviews, and professional development programs.
  • Administer payroll, employee benefits, insurance, and health-related programs.
  • Foster a positive workplace culture, encouraging staff engagement, teamwork, and performance improvements.

5. Strategic Planning

  • Contribute to strategic planning initiatives, including long-term financial forecasting and organizational growth strategies.
  • Provide financial insight and analysis to support decision-making at the senior management level.
  • Collaborate with leadership on cost control, resource allocation, and capital planning.

6. Risk Management

  • Identify potential risks (financial, operational, legal) and develop risk mitigation strategies.
  • Ensure the implementation of risk management protocols, including insurance coverage and internal controls.

Qualifications:

  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field. A Masters degree or professional qualifications (e.g., CPA, CA) is preferred.
  • Minimum of 5- 7 years of experience in finance and administration, with at least 2 years in a managerial role.
  • Strong knowledge of financial management, budgeting, accounting principles, and financial reporting.
  • Proven experience in HR management, office administration, and governance processes.
  • Familiarity with financial and accounting software, ERP systems, and advanced Microsoft Excel skills.
  • Excellent leadership, communication, and organizational skills.
  • Ability to handle multiple tasks, prioritize, and work independently under tight deadlines.
