Job description Role & responsibilities Provide full-spectrum administrative support to the Directors. Manage complex calendars: schedule meetings, appointments, video-calls, and events. Coordinate domestic & international travel arrangements (flights, hotels, visas). Prepare agendas, minutes of meetings, presentations, and follow up on action items. Screen and prioritize incoming calls, emails, and correspondence; draft communications. Maintain and organize physical and digital filing systems. Liaise with internal teams and external stakeholders to gather information and deliverables. Conduct ad-hoc research and prepare concise reports. Key Responsibilities: Appointment Coordination Schedule and confirm makeup appointments based on client needs and artist availability. Communicate updates or changes efficiently to both clients and makeup artists. Handle rescheduling and last-minute adjustments smoothly. Client Relationship Management Assist clients with booking queries, service-related concerns, and general guidance before and after appointments. Ensure client preferences and special requirements are clearly communicated to artists. Collect and manage service feedback to improve experience quality. Makeup Artist Network Support Maintain active relationships with a network of makeup artists. Regularly update artist availability, specialties, and service offerings. Ensure portfolios, pricing, and service details are up-to-date and accurate. Quality Monitoring & Reporting Track service satisfaction and flag any performance or experience concerns. Maintain weekly logs of confirmed bookings, client feedback, and artist performance metrics. Requirements: Minimum 3 years of experience in coordination, salon/spa operations, or customer-facing roles in the beauty industry. Strong verbal and written communication skills in English. Solid understanding of makeup service types (bridal, party, HD, airbrush, etc.) and artist-client matchmaking. Excellent time management, multitasking, and documentation abilities. Proficiency with digital tools or booking platforms is a plus.
