Job Title: Executive Assistant (EA) Department: Executive Office/Admin Reporting To: Managing Director / CEO / Executive Director Job Summary: The Executive Assistant will provide comprehensive administrative and operational support to the Managing Director (MD) and senior leadership team. The role involves managing calendars, scheduling appointments, preparing reports and presentations, and handling correspondence with utmost confidentiality. A key focus of this position is effective follow-up and coordination across multiple departments to ensure smooth execution of tasks and timely updates to the MD. Key Responsibilities: Manage and maintain the executive’s calendar, appointments, and travel itineraries. Coordinate and prepare for internal and external meetings, including scheduling, agenda creation, minutes, and follow-ups. Draft, review, and manage correspondence, emails, and documents on behalf of the executive. Handle confidential and sensitive information with discretion. Liaise between departments and external stakeholders to ensure effective communication and timely completion of tasks including: o Land Team: Land enquiries and status updates. o Land & Leasing Teams: Scheduling and coordination of land site visits. o Legal Team: Updates on legal due diligence processes. o Development & Design Teams: Design-related requirements and submissions. o Architects: Drawings, design progress, and revisions. o Leasing Team: Coordination on liaison and leasing enquiries. Prepare presentations, reports, and other materials as required for meetings and reviews. Track and follow up on key projects, action items, and deadlines. Support in organizing company events, reviews, and strategic meetings. Manage office administrative functions related to the executive’s requirements. Undertake additional tasks or special projects as directed by the management. Core Competencies: Excellent verbal and written communication skills. Strong organizational and time management abilities. High level of discretion and professionalism. Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook). Attention to detail and problem-solving skills. Ability to multitask and work under pressure. Positive attitude and strong interpersonal skills. Qualifications & Experience: Graduate in any discipline. Female candidate, preferably married, aged between 30 to 45 years . Minimum 3–5 years of experience as an Executive Assistant or in a similar administrative capacity. Proficiency in English and Tamil (Hindi proficiency will be an added advantage). Excellent organizational, follow-up, and multitasking abilities. Strong written and verbal communication skills. Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) . Demonstrated ability to coordinate effectively and ensure task completion through team collaboration. Discreet, professional, and able to manage confidential matters with integrity. Must possess an own vehicle and be willing to travel as required.
