Job Summary We are looking for a Personal Assistant who can assist the company management & directors and help improve productivity. Responsibilities and Duties Typing Letters, taking dictation and following general instructions Screening phone calls and dealing with enquiries where appropriate Making appointments and planning their manager’s diary & calendar Organising and attending meetings; sometimes taking minutes and ensuring their manager is well-prepared for meetings Replying to emails, faxes and post Assisting with projects their manager might be working on by researching or writing reports Organising and maintaining office systems Standing in for their manager in their absence. Acting as a first point of contact: dealing with correspondence and phone calls managing diaries and organising meetings and appointments, often controlling access to the manager/executive Booking and arranging travel, transport and accommodation Reminding the manager/executive of important tasks and deadlines Typing, compiling and preparing reports, presentations and correspondence Managing databases and filing systems Implementing and maintaining procedures/administrative systems Liaising with staff, suppliers and clients Collating and filing expenses Miscellaneous tasks to support their manager, which will vary according to the sector and to the manager’s discretion Basic Accounting or Tally software knowledge Required Experience, Skills and Qualifications Discretion and trustworthiness: you will often be party of confidential information Excellent typing skills. Candidate must be very very fluent in English. Candidate must have very good knowledge of computers. Flexibility and adaptability Good oral and written communication skills Organisational skills and the ability to multitask The ability to be proactive and take the initiative Tact and diplomacy Communication skills A knowledge of standard software packages and the ability to learn company-specific software if required BA in English/ BSc.
