Responsibilities : Tenders Executive Xpert Facility Management Pvt Ltd a leading Facility Management Organization is looking for candidates for the position of Tenders Executive based at its Corporate Head Office, Suncity, Hyderabad. Job Description :- To have working knowledge of various Government Tender Platforms like Central Public Procurement Portal, GeM, Defence Procurement, Banking Tenders, IREPS, Tender Tiger, Tender Reading etc for Central, TS, AP, TN, Karnataka States on daily basis. Experience in attending Pre-Bid Meetings. Prepare tender documents both on line/off line. Preparation of EMD well in advance as per the requirement. Prepare both Technical Bid Data and Price Bid data as per RFP. Ensure that there are Nil Disqualification of both Technical & Commercial Bids submitted Attend all price bid meetings. Submit minutes of Price Bid Meetings after evaluation of L1, L2, L3 etc To thoroughly check the work orders for correctness of Contract Period, Company Details, Contract Validity, Security Deposit and important Clauses. To coordinate with new clients for timely finalization of agreements. Submission of Performance Bank Guarantee within stipulated time. To coordinate handover complete details of deployment to be carried out to Operations Team before 15 days of actual deployment. Monthly MIS for EMDs/PBGs submitted for tender participation. To coordinate and ensure all EMDs/PBGs are received back wherever tenders are not awarded to the company. To ensure Safe Custody of Digital Signature I-Keys & company rubber stamps. The ideal candidate will have a strong grasp of legislation including the Minimum Wages Act, EPF Act, ESI Act, Bonus Act, GST, TDS, Income Tax, and other relevant regulations. Proficiency in Microsoft Excel, Tally, and other payroll and accounting software is essential for this role. Key Responsibilities: Compliance Management: Stay updated with Central and State Government policies and ensure adherence to the Minimum Wages Act, EPF Act, ESI Act, Bonus Act, GST, TDS, Income Tax, and other relevant regulations. Payroll Management: Oversee and process payroll, ensuring accuracy in salary calculations, deductions, and compliance with statutory obligations. Invoicing: Prepare and manage invoicing processes to ensure timely and accurate billing. EPF and ESI Compliance: Handle Employee Provident Fund (EPF) and Employee State Insurance (ESI) contributions and compliance. Taxation: Manage GST, TDS, and Income Tax computations and submissions. Payables and Receivables: Oversee accounts payable and receivable functions to ensure proper management of financial transactions. Bank Reconciliation: Conduct Bank Reconciliation Statements (BRS) to ensure accuracy and completeness of financial records. Audit Coordination: Support internal and external audits by providing necessary documentation and reports. General Accounting: Handle general accounting functions and maintain accurate financial records.
