About the Role We are seeking a proactive and well-organized Coordinator / Admin Executive to support day-to-day operations, administration, and project coordination. This role is central to ensuring smooth communication between management, production, purchase, accounts, and site teams, while also handling documentation, client follow-ups, and office administration. Key Responsibilities Act as the first point of contact for internal teams, clients, and vendors. Coordinate between sales, design, production, and site teams to ensure timely project execution. Maintain and update company records, files, and documentation (contracts, purchase orders, invoices, HR files). Handle client communication for quotations, follow-ups, and basic correspondence. Support purchase activities by tracking orders, deliveries, and vendor communications. Assist in HR coordination – attendance, leave records, new joiner documentation, and basic payroll support. Schedule meetings, prepare minutes, and follow up on action points. Maintain office supplies, ensure smooth functioning of office equipment, and oversee housekeeping requirements. Prepare reports, presentations, and MIS as required by management. Ensure compliance with company policies, and assist in audits/document checks. Qualifications & Skills Graduate in Business Administration / Commerce / Management (preferred). 2–4 years of experience in administration / coordination / operations, preferably in construction, fabrication, or project-based industries. Proficiency in MS Office (Word, Excel, PowerPoint); knowledge of Zoho/ERP/CRM is an advantage. Excellent communication skills in English and Malayalam (Hindi is a plus). Strong organizational skills with the ability to handle multiple tasks and priorities. Attention to detail, problem-solving ability, and a proactive approach.
