Role Description The Executive Assistant will provide high-level administrative and operational support to senior executives, ensuring the efficient management of schedules, communications, and priorities. This role requires strong organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The Executive Assistant will act as a key liaison, coordinating across teams, stakeholders, and external partners to ensure seamless execution of executive responsibilities. Key responsibilities include: Managing complex executive calendars, including scheduling meetings, appointments, and travel arrangements. Preparing, reviewing, and editing correspondence, presentations, and reports for executive use. Acting as the primary point of contact for internal and external communications on behalf of executives. Organizing and preparing materials for meetings, including agendas, briefing notes, and minutes. Coordinating logistics for events, conferences, and executive engagements. Monitoring deadlines, action items, and key initiatives to ensure timely completion. Assisting with project management tasks, including tracking progress and supporting deliverables. Maintaining confidentiality and handling sensitive information with professionalism. Supporting budget tracking, expense management, and vendor coordination as needed. Anticipating executive needs and proactively addressing potential challenges. Facilitating effective communication and collaboration between executives, staff, and external stakeholders. Qualifications Bachelor’s degree in Business Administration, Communications, or related field preferred. 0–6 years of experience as an Executive Assistant or similar administrative role supporting senior leadership. Strong organizational and time-management skills with the ability to handle multiple priorities. Excellent written and verbal communication skills with high attention to detail. Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with collaboration tools (Zoom, Teams, Slack). Ability to manage confidential information with discretion and professionalism. Strong problem-solving skills and the ability to work independently. Ability to remain calm and adaptable in fast-paced, dynamic environments. Demonstrated experience managing complex schedules and travel arrangements. Interpersonal skills to build strong working relationships across teams and with external partners. Proactive, resourceful, and committed to supporting executive success.
