Role Overview We are hiring a dynamic Operations & Sales Executive who can balance both backend operations and front-end client interaction. The ideal candidate will be responsible for daily lead follow-ups, inside sales coordination, and smooth execution of order and operations flow. Key Responsibilities Sales & Calling: Call and follow up with potential leads every morning. Pitch product offerings and convert inquiries into confirmed sales. Maintain a strong follow-up system and update lead statuses in CRM. Assist with lead generation and support the sales team with market research when required. Operations & Coordination: Handle daily order processing, vendor follow-ups, and internal coordination. Manage dispatch timelines, stock entries, and logistics follow-up. Coordinate between design, production, and delivery teams for timely execution. Maintain records, documentation, and inventory tracking. Requirements Minimum 1–3 years of experience in operations, sales, or business coordination. Strong communication skills in English, Hindi, and Telugu preferred. Proficient in MS Office, Google Sheets, and CRM tools. Ability to handle both on-call client interaction and in-office coordination smoothly. Well-organized, punctual, and capable of multitasking. With our own manufacturing plant located in Bangalore, India, and a robust import network, we pride ourselves on offering customized solutions to meet our clients' unique needs. Job Description: As an Operations Associate, you will play a crucial role in managing vendor relationships, ensuring timely order fulfillment, and maintaining effective communication with both clients and the remote team. Your responsibilities will include: Key Responsibilities: Vendor Management: Engage with vendors to check product availability in response to client inquiries. Obtain and review price quotations from vendors. Follow up with vendors to ensure orders are processed and ready for delivery. Lead Management: Effectively manage leads through the sales pipeline, ensuring timely follow-up and nurturing of client relationships. Quotation Generation: Prepare accurate and detailed quotations based on client requirements, incorporating pricing calculations and profit margins. Order Management: Oversee the end-to-end process of order fulfillment, from initial inquiry to delivery, ensuring smooth operations and timely execution. Technology Utilization: Utilize office computers, phones, and general office software, including CRM systems, to streamline operations and maintain accurate records. Mathematical Calculations: Perform quick calculations of costs, selling prices, profit margins, and discounts to generate accurate quotations and financial reports. Data Management: Maintain and update various Google Sheets and CRM platforms with relevant information, including customer inquiries, ongoing orders, sales data, and payment records. Supplier Coordination: Liaise with suppliers to place orders, obtain updated price lists, arrange sample shipments, and ensure timely delivery of goods. Customer Communication: Communicate with clients via email, phone, and group chats to provide updates on order status, address inquiries, and facilitate smooth transactions. Process Improvement: Identify opportunities for process optimization and efficiency enhancement, contributing to continuous improvement initiatives within the operations team. Order Fulfillment: Monitor and track the status of orders from vendors. Communicate with vendors throughout the manufacturing process to ensure timely delivery. Client Communication: Regularly interact with customers to address inquiries and provide updates. Obtain and share quotations with clients, securing their approval for orders. Design and Event Coordination: Liaise with designers for any design-related needs or events. Ensure that all design requirements and event details are communicated effectively. Remote Team Coordination: Forward product inquiries to the remote team and request pricing information. Negotiate final prices with vendors based on remote team inputs. Share finalized pricing with clients and obtain necessary approvals. Task Management: Handle tasks assigned by the Managing Director as needed. Upload and manage Urban Gear products on promotional websites. Additional Duties: Ensure that all operational activities align with company policies and standards. Provide administrative support and maintain accurate records of all transactions. Identify and implement process improvements to enhance efficiency and productivity. Eligibility Criteria: Experience: Proven experience as an Operations Associate or similar role in relevant industry. Skills: Strong communication and negotiation skills. Ability to manage multiple tasks and prioritize effectively. Proficiency in Microsoft Office Suite and familiarity with product management systems. Experience with vendor management and client communication. Education: Bachelor’s degree in Business Administration, Operations Management, or a related field. Other Requirements: Attention to detail and problem-solving skills. Ability to work independently and as part of a team. Experience with promotional websites and online product listings is a plus.
