A Purchasing Assistant supports the procurement process by managing administrative tasks, maintaining vendor relationships, and ensuring timely delivery of goods and services. They assist with inventory management, order processing, and communication with suppliers. Responsibilities include processing purchase orders, verifying accuracy, negotiating prices, monitoring inventory, and ensuring compliance with procurement policies. Key Responsibilities: Purchase Order Management: Processing purchase orders, verifying accuracy, and ensuring timely placement with vendors. Vendor Management: Building and maintaining strong relationships with vendors, negotiating prices, and monitoring their performance. Inventory Management: Monitoring inventory levels, identifying reorder points, and coordinating with suppliers for timely delivery. Record Keeping: Maintaining accurate records of purchases, invoices, and other relevant documents. Cost Analysis: Identifying opportunities for cost savings and process improvements. Communication: Liaising with internal departments and external vendors to ensure smooth procurement processes. Compliance: Ensuring adherence to procurement policies and procedures. Skills Required: Strong Communication Skills: Effectively communicating with vendors and internal stakeholders. Organizational Skills: Managing multiple tasks and prioritizing effectively. Negotiation Skills: Obtaining the best prices and terms with suppliers. Analytical Skills: Identifying cost-saving opportunities and analyzing data. Attention to Detail: Ensuring accuracy in purchase orders, invoices, and other records. Computer Proficiency: Familiarity with procurement software and Microsoft Office Suite (especially Excel).
