Tender Executive – Solar Industry (EPC / Rooftop / Utility Scale) Position: Tender Executive – Solar Department: Business Development / Estimation / Tendering Reporting To: Director 1. Job Summary The Tender Executive (Solar) is responsible for managing the complete tendering process for solar projects including rooftop, ground-mounted, and utility-scale solar PV systems. The role includes identifying relevant tenders, coordinating technical and commercial submissions, preparing BOQs, ensuring compliance with solar industry standards, and supporting the company’s bidding strategy. 2. Key Responsibilities A. Tender Identification & Monitoring Monitor all solar-related tenders on government and private portals (GeM, CPPP, state portals, DISCOMs, SECI, NTPC, MNRE, PSU websites). Track EPC, O&M, supply, installation, and net-metering tenders related to solar. Maintain database of open, submitted, and awarded tenders. B. Tender Document Review & Analysis Study tender documents including technical specifications, eligibility criteria, BOQ, drawings, and scope. Review solar-specific requirements like module wattage, inverter type, structure design, BOS specifications, performance guarantees, and SLAs. Identify risks, deviations, and obligations (performance ratio, CUF requirements, warranty conditions, LD clauses). C. Coordination for Technical & Commercial Inputs Coordinate with design/engineering teams for layout, capacity calculations, shading analysis, and technical compliance. Work with procurement to finalize module, inverter, and BOS pricing. Get financial inputs such as taxes, duties, EMD, BG, and pricing formats. Coordinate with project teams for timelines, manpower planning, and project methodology. D. Tender Preparation & Submission Prepare technical bid: datasheets, compliance sheets, drawings, vendor certifications, performance calculations. Prepare commercial bid: pricing sheets, BOQ, cost estimates, taxes, price breakup. Upload online tenders (e-procurement portals) and submit hard copies where required. Ensure on-time submission with 100% documentation accuracy. E. Vendor Registration & Certifications Maintain updated vendor registration with DISCOMs, railways, PSU companies, PWD, local bodies, etc. Ensure all certificates (MSME, GST, PAN, ISO, MNRE approvals) are updated. F. Post-Tender Support Follow up for tender opening results and clarifications. Support during technical and financial negotiations. Maintain monthly MIS: tenders submitted, won, lost, reason analysis. 3. Skills & Competencies Strong understanding of solar PV systems (rooftop, ground-mount, off-grid). Knowledge of MNRE guidelines, DISCOM policies, and net-metering regulations. Good knowledge of modules, inverters, structures, cabling, SCADA, and electrical components. Excellent documentation and coordination skills. Strong analytical and numerical skills for BOQ and price estimation. Proficiency in MS Excel, Word, and e-tender portals. 4. Qualifications & Experience Diploma / B.Tech in Electrical, Energy, or Renewable Engineering preferred. Bachelor’s degree in Commerce/Business Admin acceptable with solar experience. 0–4 years experience in solar tendering, estimation, or EPC documentation. 5. Key Performance Indicators (KPIs) Tender submission accuracy and on-time delivery. Tender win ratio. Compliance level with tender requirements. Cost variance between estimated and actual project cost. Number of tenders monitored and evaluated per month.
