Job Title: Transportation Office Accountant (with Field Responsibilities) Location: Panipat Job Type: Full-Time Reports To: Operations Manager / Finance Manager Job Summary: The Transportation Office Accountant is responsible for managing financial records, billing, and expense tracking for transportation operations. This role includes both office-based accounting duties and field visits to verify transactions, audit transport documents, and coordinate with drivers, vendors, and clients to ensure smooth financial operations. Key Responsibilities:Office Duties: Prepare and maintain daily financial records , invoices, and receipts for transportation transactions. Manage accounts payable and receivable , ensuring timely payments to vendors and collection from clients. Reconcile bank statements, fuel expenses, and trip reports with accounting records. Prepare billing statements for each party and track pending payments. Maintain and update transport ledgers, fuel logs, and driver allowance sheets . Support in monthly financial reporting, GST filing, and expense forecasting . Work closely with the Operations and Dispatch teams to ensure cost accuracy for each trip. Field Duties: Visit transport sites, loading/unloading points, or client locations to verify delivery documents and cross-check billing details. Conduct spot audits of vehicle expenses, fuel slips, and driver logs. Assist in cash handling and expense reimbursement during field operations. Coordinate with drivers and vendors to resolve any discrepancies in payments or receipts . Monitor vehicle trips and kilometre logs for cost efficiency and compliance. Skills and Qualifications: Diploma or Bachelor’s degree in Accounting, Commerce, or Business Administration . 1–3 years of experience in transportation, logistics, or fleet accounting preferred. Strong knowledge of MS Excel and accounting software (e.g., Tally, QuickBooks, or Zoho Books). Excellent attention to detail and organizational skills. Ability to travel for field audits and verification visits . Strong communication and problem-solving skills. Work Environment: Office Work: 70% (Accounting, billing, and documentation) Field Work: 30% (Trip verification, audits, and client/vendor visits) Occasional travel to branch offices, warehouses, or client sites as required.
