Job Title: Import & Export Officer Department: Procurement & Supply Chain Industry: Engineering & Construction Employment Type: Full-Time, Permanent Role Category: Import & Export Role Overview: We are seeking a detail-oriented and proactive Import & Export Officer to manage international logistics operations, ensure compliance with regulatory requirements, and support smooth and timely movement of goods. This role involves close coordination with internal teams, government authorities, freight forwarders, and customs agents. Key Responsibilities: Import Operations Verify shipping documents (Invoice, Packing List, Bill of Lading/Airway Bill) to ensure alignment with purchase order terms. Prepare and process documentation for the import and customs clearance of shipments. Collaborate with the EXIM department to review and validate supplier documents. Maintain accurate records of all import transactions and ensure timely data updates in internal systems. Coordinate with freight forwarders (FF), customs house agents (CHA), and insurance surveyors for seamless customs clearance. Manage inland and international transport arrangements. Review and process payments for CHA, FF, and transporter bills, ensuring timely disbursement. Export Operations: Evaluate Shipment Request Forms (SRF), packing lists, and required documents such as licenses and order copies. File necessary export documentation with Customs Authorized Officers within the Special Economic Zone (SEZ), including invoice, packing list, and GR Form. Coordinate collection of Bills of Lading and Airway Bills from carriers. Obtain Certificates of Origin (COO) from relevant chambers of commerce. Prepare and dispatch post-shipment documentation and ensure timely closure of licenses with regulatory bodies. Regulatory & Compliance: Prepare and maintain documentation for availing benefits under government schemes like EPCG, DEEC, etc. Generate and manage regular MIS reports to track and analyze import/export performance. Qualifications and Skills: Proven experience in handling import and export documentation and compliance, preferably in engineering or construction industries. In-depth knowledge of customs regulations, SEZ operations, and international shipping protocols. Familiarity with government incentive schemes for exporters and importers. Strong coordination skills with internal stakeholders and external agencies like CHAs and freight forwarders. Excellent attention to detail, organizational skills, and proficiency in MS Office and ERP systems.
