Manage Enquiries & Offers : Monitor customer online portals for RFQs, download relevant inquiries, forward to suppliers, and ensure timely submission of quotes to customers based on supplier quotes and other terms & conditions insisted by the customer. 2. Order Processing & Coordination : Review customer purchase orders/contracts, resolve discrepancies, and place orders with suppliers, ensuring alignment with submitted quotes and timely order acknowledgment. 3. Costing & Approvals : Prepare internal cost sheets for quotes and purchase orders, obtain management approvals, and ensure compliance with cost structures before submitting the final quote to the customer. 4. Follow-up & Delivery : Track order status with suppliers, update customers on delivery progress, liaise with freight forwarders, manage customs clearance, and ensure on-time material delivery to the warehouse/customer. 5. Warehouse & Invoice Coordination : Work with the warehouse team for timely delivery, coordinate with the invoice team for payment approvals, and ensure accurate delivery and invoicing records. Maintain registers (quotes, POs, deliveries), update internal systems (SAGE), and follow up on invoices, GRNs. 6. Payment & Documentation : Ensure payment processing to suppliers and forwarders, review commission statements, and maintain updated records of customer payments and purchase orders. Verify advance payments requests and forwarded to appropriate authorities with recommendations, reconcile supplier/forwarder bills. 7. Daily Reporting : Complete and submit daily VDP to PDO, and maintain accurate registers for quotes, purchase orders, and payment tracking. 8. Project Orders : Manage all aspects of project orders, including coordinating and attending kick-off meetings, preparing and circulating minutes, handling documentation submissions, arranging third-party inspections, and facilitating communication between principals and suppliers.
