Job Title: HR & Payroll Executive (Full-Time) Role Description: This is a full-time on-site role for an HR & Payroll Executive located in Hyderabad. The responsibilities include managing HR operations, implementing HR policies, handling employee relations, overseeing payroll processes, and ensuring compliance with applicable regulations. The role involves daily collaboration with team members to facilitate efficient human resource management while fostering a positive work environment. 1. USA Employee Onboarding Prepare and issue offer letters and onboarding documents for new hires in the U.S. Manage E-Verify submissions, employment eligibility checks, and ensure accurate completion of Form I-9 as per USCIS guidelines. Coordinate with candidates to collect onboarding documentation and ensure compliance with federal and state regulations. 2. India Employee Recruitment & Onboarding Support sourcing, screening, and coordinating interviews for India-based roles( Sales & Recruiting ). Prepare offer letters, collect documents, and complete end-to-end onboarding formalities for India employees. Maintain candidate databases and ensure smooth joining processes across India locations. 3. USA Employee Invoicing & Payroll Management Create and manage client invoices using QuickBooks , ensuring billing accuracy and timely submissions. Process monthly payroll using Gusto , including timesheet validation, wage calculations, and deductions. Reconcile payroll and invoicing reports and coordinate with employees for payroll-related queries. 4. Knowledge of USA Tax Terms & Visa Categories Strong understanding of U.S. tax classifications, including W2, 1099, and C2C . Familiarity with U.S. work authorization categories such as H-1B, H4 EAD, GC EAD, OPT, CPT, Green Card, and U.S. Citizen statuses. Ensure compliance with client/vendor onboarding requirements related to tax terms and work authorization. 5. Vendor Management & Payments Coordinate with vendors to verify invoices and ensure accurate and timely vendor payments . Maintain payment schedules, reconcile statements, and manage financial communication with vendors. Assist with documentation needed for vendor onboarding and compliance. Qualifications: Experience in HR Management, HR Operations, and developing and implementing HR policies. Proficiency in Employee Relations and expertise in general Human Resources (HR) practices. Strong organizational, problem-solving, and interpersonal communication skills. Ability to manage payroll processes and ensure regulatory compliance. Working knowledge of employment laws and labor regulations. Bachelor’s degree in Human Resources, Business Administration, or a related field; HR certifications are a plus. Prior experience in similar HR or payroll roles, preferably in IT or service-based industries
