The Purchase Executive is responsible for sourcing, negotiating, and procuring raw materials, ingredients, packaging materials, and services required for food production. The role ensures timely availability of quality materials at competitive prices while maintaining compliance with food safety and regulatory standards. Key Responsibilities 1. Procurement & Sourcing Identify and evaluate suppliers for raw materials, food ingredients, packaging materials, consumables, and machinery. Source materials based on production forecasts, quality standards, and seasonal requirements. Obtain competitive quotations, prepare comparison sheets, and recommend vendor selection. 2. Vendor Management Develop and maintain strong relationships with approved suppliers. Conduct supplier audits in coordination with QA/QC teams to ensure compliance with food safety norms such as FSSAI, HACCP, ISO, etc. Monitor vendor performance (quality, delivery timelines, pricing, service reliability). 3. Inventory & Purchase Planning Review stock levels regularly and coordinate with production and warehouse teams to avoid shortages or overstock situations. Prepare purchase plans based on sales forecasts, production schedules, and shelf-life considerations. Ensure materials are delivered on time and in the correct quantities. 4. Negotiation & Cost Control Negotiate pricing, credit terms, and long-term contracts to reduce cost without compromising quality. Analyze market trends and fluctuations in commodity prices (e.g., grains, spices, dairy, oil, fruits, vegetables). Identify cost-saving opportunities in procurement operations. 5. Documentation & Compliance Prepare purchase orders (PO) and maintain accurate records in ERP systems (SAP, Tally, Oracle, etc.). Ensure compliance with legal, safety, and quality requirements for all materials. Maintain documentation required for audits (FSSAI, ISO-22000, BRC, etc.). 6. Coordination Coordinate between production, QA/QC, finance, and logistics departments for seamless procurement. Resolve issues related to delayed supply, quality rejection, or inventory discrepancies. Support new product development (NPD) teams by sourcing new ingredients and packaging options.
