Role Overview: As a Part-Time Scheduler at ABA of North Texas, your role is crucial in ensuring smooth and efficient staff and client scheduling while maintaining company protocols and clinical safety standards. Key Responsibilities: - Create and maintain therapy schedules considering staff and client availability, prioritizing Full-time RBTs, then Part-time RBTs, and finally Behavior Technicians (BTs). - Obtain approval from upper management before finalizing schedules. - Input approved schedules into the AlohaABA scheduling system. - Run and review the overlap report to address scheduling conflicts. - Develop a Call-Out Replacement Cheat Sheet for staff absences. - Accurately record time-off requests and client cancellations in the system. - Mark Parent Training sessions to prevent unintended cancellations and distribute finalized schedules to supervising BCBAs and BCaBAs. - Communicate schedule changes to parents by 7:00 AM CST and update internal team chats by 7:30 AM CST with daily client assignments. - Track and follow up with sick staff and clients to confirm return plans by 2:00 PM CST daily. Scheduling Guidelines to Follow: - Assign only male therapists to male clients. - Avoid scheduling two high-behavior clients consecutively for the same staff. - Staff without QBS certification should not be scheduled with high-behavior clients without approval. - Prioritize RBTs over BTs when assigning hours. - Maintain staff on their designated client teams for consistency. Qualifications: - Prior experience in scheduling within a healthcare or ABA setting is highly preferred. - Familiarity with Aloha practice management software is advantageous. - Strong communication and time management skills are essential. - Attention to detail and adherence to strict protocols are necessary. - Availability to complete and share schedules from 5:30 am CST to 1:30 pm CST is required. - Comfort with frequent changes and quick turnarounds is important. - Ability to work independently while being part of a collaborative team is key.,
