Confidential and Sensitive Matters - Manage and safe guard confidential information with discretion and integrity. - Prepare and Handle sensitive document and communications. Visa and logistics - Assist with visa applications and other travel related documentation for international travel. - Coordinate logistics related to business trips, including travel insurance and itineraries. Day to Day Affairs - Manage the Managing Directors calendar, scheduling meetings, appointments and personal engagements. - Prioritize and handle incoming communication, including emails and mails, phone calls. - Prepare and organize meeting materials, agendas and report. Meeting Coordination - Schedule and coordination meetings conferences, virtual meetings and events, ensuring all logistics are handled. - Liaise with other executives, clients and stakeholders to arrange meetings with follow-ups. - Take minutes during meetings and prepare action items for follow-up. Administrative Support - Draft, proofread and edit correspondence and report. - Perform general office duties such as filling data entry and managing office supply. Special Projects - Support the Managing Director on special projects and initiatives as needed. - Conduct research and gather information to assist with decision making. Proficiency in office software (e.g. MS office suite, email platforms) Ability to handle sensitive information with confidentiality, Strong problem solving skills and attention to detail. Flexibility and adaptability in a fast paced environment . Preferred skills - Experience with international travel arrangement and visa process. - Knowledge of Project management tools and techniques. - Ability to work under pressure and manage multiple priorities effectively.
