Position Overview:

We are hiring an experienced and meticulous Order Management Specialist to manage the complete lifecycle of customer orders. The ideal candidate will ensure all technical and commercial details are accurate, manage delivery timelines, mitigate risks, and act as a liaison between customers and internal departments.

You will work closely with teams in Planning, Operations, Sourcing, Logistics, and Customer Service to ensure orders are fulfilled efficiently and accurately.

Key Responsibilities:

• Order Validation & Processing
• Review incoming orders for completeness, accuracy, and compliance with technical, commercial, and regulatory standards.
• Ensure contractual obligations are fulfilled before processing.
• Order Fulfillment & Shipment Coordination
• Communicate committed delivery timelines to customers and internal teams.
• Handle requests for order changes, expedites, holds, and risk assessments.
• Coordinate test and inspection slots for priority orders.
• Ensure timely release of required shipping documents (packing lists, certificates, inspection reports).
• Customer Engagement & Communication
• Provide proactive order status updates.
• Conduct Voice of Customer (VOC) calls and participate in Quarterly Business Reviews (QBRs).
• Gather customer feedback and drive improvement initiatives with ownership and deadlines.
• Create and maintain customer support documents such as FAQs and knowledge base articles.

Cross-Functional Coordination

• Join daily/weekly planning meetings to maintain updated order status.
• Advise and implement expedite or hold strategies based on readiness, credit status, material availability, and documentation.
• Collaborate with QA/QC, Stores, and Testing teams to resolve order readiness issues.

ERP/CRM System Management

• Update ERP systems with expedite/hold requests, including reasons and deadlines.
• Ensure all actions are logged with proper approvals as per Delegation of Authority (DoA).
• Maintain clean data in CRM systems, including customer cases, interactions, and opportunities.

Risk Monitoring & Mitigation

• Track changes to Expected Delivery Dates (EDD) and communicate transparently with stakeholders.
• Maintain a live register of at-risk orders with mitigation plans.
• Ensure compliance with company policies regarding full-kit vs. partial shipments.

Candidate Requirements:

Education: Bachelors degree in Engineering, Business, Supply Chain, or related disciplines.

Experience: 7+ years in Order Management, Supply Chain, or Customer Support functions.

Tools: Proficiency in ERP and CRM systems (e.g., SAP, Oracle, MS Dynamics).

Skills:

• Strong communication and coordination abilities.
• Ability to work cross-functionally and manage multiple priorities.
• Customer-centric mindset with a strong problem-solving approach.
