Role & responsibilities Purchase Assistant: Focusing on Efficient Procurement Support Purchase Order Creation and Accuracy: Create purchase orders based on approved requests, meticulously ensuring the accuracy of all details, including product specifications, quantities, agreed prices, and delivery schedules. Order Tracking and Issue Resolution: Proactively communicate with vendors to track the status of placed orders, identify potential delays or discrepancies, and assist in their timely resolution. Interdepartmental Collaboration for Procurement: Work closely with sales departments to understand their material and product needs and ensure timely procurement to meet those requirements. Timely Product Inquiry Updates: Provide prompt and accurate updates to relevant teams on product-related inquiries, such as availability, lead times, and pricing obtained from vendors. Inventory Assistant: Ensuring Accurate Stock Management and Control Purchase Record Maintenance and Inventory Updates: Assist in maintaining comprehensive purchase records and diligently updating inventory levels in the system upon receipt of goods. Inventory Level Monitoring and Maintenance: Regularly monitor inventory levels across all locations (warehouse, retail shops) to ensure optimal stock availability and prevent stockouts or overstock situations. Regular Inventory Counts and Reconciliation: Conduct routine inventory counts (daily, cycle counts) and meticulously reconcile physical counts with system records to identify and investigate any discrepancies. Goods Receiving Process Oversight: Oversee the goods receiving process to ensure adherence to established procedures, accurate documentation, and proper initial checks are performed. Daily Stock Audit Coordination and Accuracy Review: Take responsibility for the daily stock audit process, including supplying audit items to designated teams and thoroughly reviewing the accuracy of their reported results. Quarterly and Yearly Stock Audit Oversight and Discrepancy Analysis: Oversee the execution of quarterly and yearly stock audits, actively participate in identifying stock discrepancies, and contribute to the analysis of their root causes. Inventory Report Generation and Trend Analysis: Generate regular inventory reports, analyze the data to identify key trends (e.g., fast-moving, slow-moving items), and highlight areas for potential improvement in stock management. Cross-Departmental Collaboration for Inventory Optimization: Collaborate with other departments, particularly Sales and Marketing, to forecast future inventory needs and contribute to strategies for optimizing overall stock levels.
