Location: Apollo Premier, 601, Vijayanagar, Indore (Headquarters) Designation: Front Desk Executive Department: Administration & HR Reporting To: Admin Head / HR Manager Working Days: 6 Days (Monday to Saturday) Timings: 10:00 AM – 7:00 PM Salary: Best in the Market (commensurate with experience and skills) Probation: 6 Months (confirmation subject to performance) Role Overview We are seeking a proactive, well-presented, and dynamic Front Desk Executive to be the first point of contact for clients, candidates, vendors, and visitors at our corporate headquarters. This role requires excellent communication, organizational, and interpersonal skills, ensuring smooth day-to-day reception management, administrative support, and active participation in HR-related functions.Key Responsibilities Manage the reception area and maintain a professional and welcoming environment. Reception & Guest Management Greet and facilitate clients, guests, vendors, interviewees, and customers with warmth, courtesy, and professionalism. Maintain visitor records, guest lists, and ensure proper check-in/out protocols. Handle incoming calls, emails, and correspondence efficiently. Administrative & Database Management Maintain accurate databases including interview records, guest logs, vendor lists, and in-and-out checklists. Track and manage inventories of IT, non-IT, grocery, and stationery supplies. Ensure timely replenishment of office supplies and maintain vendor coordination. Prepare and maintain structured records and reports on MS Excel and HRMS/ClickUp. HR & Employee Engagement Support Assist HR in interview coordination, candidate follow-ups, and scheduling. Channelize and guide candidates during interviews and assessments. Support HR team in employee engagement and cultural initiatives. Provide administrative assistance for HR-related events and activities. Front Desk Excellence Maintain decorum and discipline at the reception/front office area. Project a positive, approachable, and professional personality at all times. Ensure seamless communication and coordination with internal teams. Skills & Competencies Required Strong command over MS Excel, HRMS, and task management tools (ClickUp preferred). Excellent verbal and written communication skills in English and Hindi. Presentable personality with a welcoming, professional, and approachable demeanor. Ability to multitask, stay organized, and manage multiple priorities. Proactive, dependable, and team-oriented attitude. Customer-first approach with strong interpersonal skills. Performance & Growth Performance will be monitored through a scorecard system aligned with KPIs and KRAs. Evaluation will be in connection to the North Star Metric: effective engagement, operational efficiency, and service excellence.
