Key Responsibilities1. Calendar, Scheduling & Coordination Maintain and manage the CEO’s calendar — meetings, calls, and personal appointments. Prioritize and schedule daily tasks to ensure optimal time utilization. Set reminders, prepare briefing notes, and ensure punctuality for all meetings. Coordinate with staff, vendors, clients, and family for time-sensitive matters. 2. Travel Management Plan and book all airline tickets, hotels, and transfers (domestic and international). Prepare detailed travel itineraries and ensure smooth execution. Handle last-minute changes, reschedules, and travel documentation (visas, forex, etc.). Coordinate with event or meeting hosts for logistics and hospitality. 3. Communication & Correspondence Draft, review, and manage emails, WhatsApp communications, and follow-ups on behalf of the CEO. Maintain clear communication channels between internal teams and external stakeholders. Screen incoming calls and messages and prioritize important communications. Maintain strict confidentiality in all matters — professional and personal. 4. Coordination Between Home & Office Ensure smooth coordination for personal appointments, home maintenance, staff, and family requirements. Liaise with drivers, household staff, and service providers. Track deliveries, purchases, and other personal errands efficiently. Maintain discretion and professionalism at all times. 5. Meetings & Documentation Schedule, prepare agendas, and coordinate materials for meetings (business or personal). Record minutes and ensure timely follow-up on action points. Maintain digital and physical filing systems for easy document retrieval. Handle confidential documents and information securely. 6. Office Operations & Task Follow-Up Coordinate with office teams for internal meetings, reports, and client interactions. Track pending tasks and ensure they are completed as per deadlines. Support in preparing presentations, spreadsheets, and reports when required. Help organize internal or client-facing events if the CEO is involved.
