The Admin & ImportExport Executive will be responsible for managing day-to-day administrative operations while also handling complete import and export documentation and logistics coordination. This role requires strong organizational skills, attention to detail, and the ability to manage multiple responsibilities efficiently. Key Responsibilities Administrative Responsibilities Oversee daily office operations to ensure smooth functioning. Maintain office records, files, and documentation. Coordinate with vendors for office supplies, maintenance, and service requirements. Assist in scheduling meetings, preparing reports, and managing calendars. Support HR with basic tasks like onboarding, attendance, and employee documentation. Handle travel arrangements, hotel bookings, visitor management, and event coordination. Monitor office equipment, facilities, and housekeeping requirements. Import & Export Responsibilities Prepare complete import and export documentation (invoice, packing list, BL/AWB, COO, LC documents, etc.). Coordinate with customs agents, freight forwarders, transporters, and shipping lines. Track shipments, monitor delivery schedules, and ensure timely customs clearance. Ensure compliance with customs regulations, DGFT rules, and INCOTERMS. Maintain shipment records, MIS reports, and logistics documentation. Manage purchase orders, order confirmations, shipment planning, and follow-ups with suppliers/buyers. Handle duty payments, insurance claims, and post-shipment formalities. Coordinate with internal teams for inventory updates, dispatch planning, and material availability. Skills & Requirements Strong knowledge of import & export procedures, HS codes, and documentation. Good understanding of customs clearance and international trade rules. Excellent communication and correspondence skills. Proficiency in MS Office (Word, Excel, PowerPoint) and email etiquette. Ability to multitask and manage administrative tasks simultaneously. Strong coordination, negotiation, and problem-solving abilities. Attention to detail, accuracy, and deadline management. Experience working with CHA, freight forwarders, and logistics partners is preferred. Education Graduate in any discipline (Commerce/Logistics/International Business preferred).
