Role Overview The Communication & Documentation Officer will be responsible for managing all organizational documentation, proposal writing, content development, and communication activities. The role involves creating high-quality written materials, ensuring brand consistency, supporting internal and external communication, and enhancing the organizations online presence through effective social media management. Key Responsibilities 1. Documentation & Record Management Maintain and organize all project documentation, reports, case studies, MoUs, letters, and official files. Ensure timely documentation of programs, events, field activities, and success stories. Prepare monthly, quarterly, and annual progress reports. Maintain accurate digital and physical filing systems. 2. Proposal Writing & Fundraising Support Draft compelling project proposals, concept notes, grant applications , and donor reports. Research funding opportunities and support in resource mobilization. Work with project teams to collect necessary data, budgets, and inputs. Ensure all proposals align with donor requirements and organizational goals. 3. Content Development Develop content for reports, brochures, newsletters, presentations, and website pages. Create engaging and accurate written, visual, and multimedia content. Support development of training materials, manuals, case studies, and success stories. Edit and proofread documents to ensure clarity and consistency 4. Social Media Management Manage and update all organizational social media platforms (Facebook, Instagram, LinkedIn, Twitter/X, YouTube). Develop monthly content calendars and publish regular posts, reels, and updates. Respond to comments, messages, and engage stakeholders online. Track performance metrics and prepare monthly analytics reports. 5. Communication & Branding Ensure consistency in messaging, brand guidelines, and communication strategy. Prepare press releases, media kits, and communication briefs. Support event documentation including photos, videos, and media coordination. Lead internal communication initiatives and maintain communication channels. 6. Coordination & Support Work closely with project teams, senior management, and field staff to gather data and success stories. Support coordination for events, workshops, and campaigns. Assist in developing promotional materials and communication assets. Required Qualifications Bachelor’s/Master’s degree in Mass Communication, Journalism, English, Development Studies, Marketing, or related field . Strong background in writing, communication, and digital media . Experience Requirements 2–5 years of experience in communications, content writing, documentation, NGO/development sector communication, or similar roles. Experience in proposal writing and social media management is mandatory. Required Skills & Competencies Technical Skills Excellent written and verbal communication skills. Strong documentation and report-writing skills. Proficiency in MS Office, Canva, Google Workspace, and basic graphic design tools. Experience with social media platforms and analytics (Meta, LinkedIn, Instagram, Twitter/X). Knowledge of proposal writing formats, donor reporting, and fundraising documentation.
