We are looking for a highly skilled Automation Specialist to design, build, and deploy an end-to-end automation system that streamlines our back-office operations. The role focuses on integrating tools like Slack, Pipedrive, DocuSign, Google Workspace, PropertyMe/MRI, BGL Simple Fund 360, and ClickFunnels/GoHighLevel into a seamless workflow. The goal is simple: replace manual admin processes with reliable automations that “just work” — while meeting compliance standards. Key Responsibilities: Design and implement document automations (receipts, contracts, audit packs, authority forms). Build Slack command workflows (/receipt, /contract, /auditpack, etc.) for one-click actions. Configure and optimize Pipedrive CRM (fields, automations, deal stages). Automate document generation (Google Docs → PDF → email → Drive storage). Integrate DocuSign for seamless e-signature workflows. Automate onboarding workflows for Property Management tools (PropertyMe/MRI). Route leads from funnels (ClickFunnels/GoHighLevel) and classify them via AI. Build compliance workflows (intake checklists, missing-doc reminders, SLA trackers). Develop dashboards & reporting for KPIs, marketing attribution, and pipeline tracking. Ensure all workflows follow security, compliance, and reliability standards (AU privacy, SMSF). Provide documentation, diagrams, and runbooks, plus training for internal users. Requirements: Proven experience with no-code automation platforms (Make.com/Integromat, Zapier, n8n, etc.). Strong knowledge of Slack integrations and app workflows. Experience with CRM automation (Pipedrive preferred). Familiarity with Google Workspace automation (Docs, Drive, Sheets). Knowledge of DocuSign API/integration. Ability to integrate with Property Management tools (PropertyMe/MRI) & BGL Simple Fund 360. Understanding of compliance-sensitive workflows (finance, property, or legal). Ops/Systems mindset: able to map messy business processes into structured workflows. Strong communication skills, excellent documentation habits. Nice to Have: Experience with AI-driven automations (lead classification, knowledge bots). Familiarity with Australian property or SMSF compliance. Prior experience building error handling + monitoring dashboards.
