Job Description – Head of Internal Operations Location: Parwanoo, Himachal Pradesh (near Kalka) Experience: Minimum 7 years Reporting To: Managing Director - Russell Collins (based in Australia) Working Relationship: This role operates in parallel with the General Manager (GM), with a complementary mandate focused on internal operations, HR, administration, and finance coordination. Ltd. is a social enterprise committed to developing clean, efficient biomass combustion solutions for heating and cooking, particularly in the Himalayan region and beyond. Our innovations combine traditional needs with modern engineering, delivering high-efficiency stoves and biochar solutions that improve lives and reduce emissions. Role Summary We are seeking a capable and experienced Internal Operations Head to oversee the day-to-day operations of our head office. This role reports directly to the Managing Director and works alongside the General Manager, acting as a central hub of coordination across HR, administration, reporting, and finance follow-ups. The Internal Operations Head will ensure the systems and support structures of the company run smoothly and enable sustainable growth. This role is ideal for someone with strong leadership, operational oversight, and team coordination experience who can confidently manage office systems and work as a respected peer to the GM. Key Responsibilities 1. Office & Administrative Management - Oversee all aspects of day-to-day office operations, including supplies, utilities, documentation, and general upkeep. - Establish and maintain internal systems and processes for smoother functioning. - Manage vendor relationships and service contracts for office needs. 2. Human Resources & Team Coordination - Support recruitment processes (job postings, candidate screening, scheduling interviews). - Onboard new employees and ensure documentation is complete and up to date. - Track employee attendance, leaves, and maintain HR records. - Foster a positive work culture and address employee issues with discretion and care. - Lead the company’s Learning & Development function: design and implement training programs, and ensure employees have the skills and growth pathways to thrive within the company. 3. Finance Follow-up & Coordination - Liaise with the company accountant for timely follow-ups on payments, invoices, and reimbursements. - Ensure financial documentation is organized and up to date (bills, vouchers, bank statements, etc.). - Monitor petty cash and routine expenditures. - Support budget tracking and reporting. 4. Sales Network Coordination - Maintain regular communication with dealers, distributors, and sales outlets. - Track and collect monthly reports from partners and flag inconsistencies or delays. - Help ensure compliance with warranty registration and documentation processes. 5. Communications & Reporting - Support the preparation of internal and external reports (monthly updates, summaries, tracking sheets). - Maintain records of key documents, correspondence, and minutes of meetings. - Assist the leadership team in data collection, formatting presentations, and analysis. Required Qualifications & Experience - Bachelor’s degree in Business Administration, Management, Commerce, or related field. - Minimum 7 years of experience in office management, operations, HR administration, or related roles. - Strong organizational and follow-up skills. - Excellent written and verbal communication in English and Hindi. - Proficient in MS Office (Excel, Word, Outlook) and Google Workspace tools. - Experience working in a startup, SME, or social enterprise is a plus.
